Working for the Office of the Vice-President Research (VPR)

The Office of the Vice-President Research supports the university's research function, helping ensure those involved in research, partnership and innovation activities adhere to the highest operational, financial, legal, ethical and safety standards. We also develop and administer policies to ensure regulatory compliance.

Position

The Office of the Vice-President Research is seeking a Project Coordinator to support two Centres of Expertise focused on advancing Access, Community & Belonging (ACB) and promoting excellence in Indigenous Initiatives in research.

This is an exciting opportunity to work at the intersection of administration, collaboration, and social impact—coordinating projects that build equity and belonging into the fabric of research practices at the University of Alberta.

The Project Coordinator will provide comprehensive project management and administrative support to two Program Officers: one leading Access, Community & Belonging (ACB) initiatives in research, and the other focused on Indigenous research leadership and capacity building. You’ll help guide the development and implementation of each Centre’s programming—ensuring timelines are met, budgets are tracked, relationships are maintained, and knowledge is shared with care and intention.

You’ll play a key role in supporting logistics, communications, foundational research, data collection, and evaluation. This includes participating in needs assessments, assisting with ethics applications, preparing reporting documents, and helping to design and test new training and support tools for researchers.

Duties

Operations Management & Administration (55%)

  • Provide end-to-end project coordination for ACB and Indigenous research initiatives
  • Develop and maintain project timelines, scopes, and deliverables
  • Track budgets, invoices, and reporting requirements in collaboration with administrative staff
  • Align project processes with institutional strategies (e.g., Braiding Past, Present, and Future, Forward with Purpose) and ACB/Indigenous frameworks
  • Prepare meeting documentation and maintain knowledge systems

Program Development Support (25%)

  • Support development of training, resources, and tools for researchers
  • Coordinate needs assessments and usability testing for new program materials
  • Maintain project data and track progress toward goals
  • Ensure alignment with community- and culturally-informed best practices

Partnership Engagement (15%)

  • Support communication with university departments, Indigenous communities, and national partners
  • Coordinate stakeholder involvement and meeting logistics
  • Promote collaboration and uphold relational accountability

Reporting & Ethics Support (5%)

  • Prepare and manage ethics submissions for projects as needed
  • Assist in producing impact reports, presentation materials, and knowledge-sharing outputs

Minimum Qualifications

  • A university degree in a related field (e.g., Social Sciences, Indigenous Studies, Education, Public Administration, Project Management, etc.)
  • 3–5 years of experience in project coordination or management, ideally within a research, academic, or community-based context
  • Experience supporting initiatives related to Indigenous Initiatives and Access, Community & Belonging and/or equity, diversity and inclusion in research
  • Experience coordinating multi-stakeholder projects, including logistics, scheduling, and budget tracking
  • Familiarity with administrative processes such as invoicing, ethics submissions, and reporting
    Excellent organizational and communication skills
  • Experience working with diverse stakeholders, including Indigenous communities
  • Proficiency with digital tools (e.g., MS Office, SharePoint, Smartsheet)
  • Solid understanding of EDI principles and Indigenous research practices and methodologies
  • Familiarity with institutional strategic frameworks such as Braiding Past, Present and Future, Forward with Purpose, and Changing the Story
  • Awareness of national and institutional frameworks for EDI and Indigenous engagement in research (e.g., Equitable Implementation Framework, Indigenous Research Support Initiative)

Preferred Qualifications

  • Experience in a post-secondary research environment
  • Knowledge of Indigenous languages, governance structures, or traditional knowledge systems
  • Project management certification (e.g., PMP, CAPM) or formal training in research administration
  • Experience with data collection, usability testing, and evaluation related to ACB or Indigenous research
