Department: Southside Aquatic Centre – Parks & Recreation
Classification: TEMPORARY Full Time (approx.12 months); Unionized
Salary Range:$28.21 to 31.72 / hour as per Schedule “A”

Duties and Responsibilities:

  • Provides clerical services to Southside Aquatic Centre

    • Types correspondence, reports, forms, memos, purchase orders, minutes, contracts etc.
    • Responds to general public inquiries over the telephone, at the counter and by e-mail
    • Prepares material for public notice, including but not exclusive to, newspaper notices, program brochures, promotional advertisements, updates to City website, and Recreation and Leisure Guide.
    • Creates and modifies digital forms
  • Provides administrative support services for the Facilities:

    • Books rentals for aquatic and recreation facilities
    • Maintaining records by following record retention procedures
    • Ensure documents are accessible
    • Collects and records statistical information
    • Balance cash receipts and prepare bank deposits. Balance monthly debit and credit card payments. Request manual cheque refunds and perform all credit card and debit card refunds,
    • Manage and maintain all relevant rental contracts: invoicing, booking and payment processing
    • Administers petty cash fund for all aquatic facilities and programs,
    • Sell all passes and memberships while on duty as well as admissions and maintain floats for Southside Aquatic Centre
    • Register program participants when requested
    • Orders and maintains facility office supplies,
    • Maintain telephone system for Aquatic programs
    • Manage Perfect Mind account, set up courses and financial statements
    • Email event information to various groups,
  • Co-operates with other Departments and the general public.

  • Provides liability insurance for all rentals. Tracks the liability insurance sold

  • Provide back-up support to clerks in the Arena, Parks Recreation, and Aquatics when required

  • Must be able to take initiative to complete tasks, and resolve problems that arise

  • Maintains privacy and confidentiality of employee information and external customer information.

  • Maintains expertise at a high level by attending appropriate training courses and seminars.

  • Train staff in recreation software programs, and front desk procedures

  • Schedule other reception staff according to staff scheduling procedures

  • Communicates and provides updates to facility manager when needed

  • Performs other duties as assigned from time to time.

Qualifications:

  • Secondary School Graduation Diploma or equivalent as determined by the Corporation,
  • Able to use Microsoft Office including Word, Excel, PowerPoint and Outlook
  • Minimum three years clerical experience,
  • Competent in Perfect Mind registration an asset
  • Knowledge of Lifesaving Society programs and procedures
  • Excellent communication skills and enjoy dealing with people
  • Work with minimal supervision.
  • First Aid/CPR and AED Certified
  • Aquatic/Recreation Program experience an asset

Working Conditions:

  • Usual public office conditions.
  • Work is subject to frequent interruptions to provide information to staff and outside contacts.
  • Observes regular office hours and overtime as required.
