Job Posting Description: This is an onsite role Are you interested in supporting three Centers of Excellence during a unique and transformative time at the LCBO? Alleviating the administrative burden from three Directors within the Human Resources department, you will work with the Labour Relations, Total Rewards and Workplace Wellness and Safety teams. By quickly establishing trust with partners, you will provide a variety of confidential administrative, technical, and operational support to help the team. Providing oversight and management of these departmental budgets, the Administrative Coordinator will support each director through monthly reconciliations, management of purchase orders, bill payments and processing, expense management and reporting. Furthermore, the Administrative Coordinator will proactively anticipate needs, including travel arrangements, calendar and scheduling management and correspondence development. The Coordinator will also autonomously co-ordinate follow-up actions, bring forward files, create reports, manage schedules, and respond to inquiries.

About The Role

  • Administer and co-ordinate the budgets, business plans, and statistics for the three Human Resource business groups.
  • Tracking actual expenditures and provides proper documentation to substantiate expenses and revenues; including calendarization, reconciliation and reporting.
  • Provides support in collecting and organizing information into cogent and compelling formats, i.e., presentations, pdf, etc.
  • Composition and data retrieval and analysis using the Microsoft Office suite, including Outlook, Word, PowerPoint, Excel, and Access databases
  • Develop, coordinate, and implement a strategy and work plan for the successful delivery of department events/activities/communications (herein ‘events’).
  • Organize yearly, quarterly and/or monthly events for the three Directors and/or their Direct Reports.
  • Act autonomously and independently in making all necessary related decisions to ensure the successful execution of events, budget preparation, and expense management.
  • Co-ordinate all travel arrangements for departmental staff.
  • Supports three Directors on departmental projects and initiatives such as policy and program implementation, business process and program roll outs, etc.
  • Document and maintain administrative procedures and work instructions and update to SharePoint site as appropriate.
  • Flexible to take on a variety of ad-hoc projects on a regular basis.

About You

  • University degree or 3-year Community College diploma in Office Administration/Communications/Business or related field of study or equivalent experience.
  • Demonstrated administrative support experience preferably in a unionized environment.
  • Experience successfully providing support services to multiple leaders, with the ability to adapt to different work styles and needs.
  • Ability to communicate effectively, both verbally and written, with an outstanding attention to detail.
  • Strong technical aptitude including solid knowledge of Oracle Hyperion, SAP, Outlook, Word, PowerPoint, Excel and Access, with mathematical aptitude and experience in budget planning and tracking.
  • Adaptable to new and changing technologies.
  • Strong organizational and time management skills to manage conflicting deadlines in a fast-paced environment, and handle both internal and external client.
  • Sound judgement, diplomacy, decision making ability and confidentiality/discretion.
