About the role

Job Description

WHAT IS THE OPPORTUNITY?

The Chief Legal and Administrative Officer (CLAO) Team Operations Coordinator will support CLAO’s office portfolio in a specific region as well as the associated CLAO teams in providing coordination, administrative and other ad-hoc support in their day-to-day responsibilities. This could include but is not limited to coordination and facilitation of meetings/events, support facilities communications, handle building access, printers and office supplies, floorplans, seating, and other coordination requirements of the team.

This role requires the ability to prioritize tasks, work under pressure of daily deadlines, and keep organized while working under frequent interruption. The role focuses on the operational and coordination aspects of CLAO’s office portfolio in a specific region, ensuring that the physical space effectively supports the team’s needs.

WHAT WILL YOU DO?

  • Assist the team with new move planning, floor plans, seating charts, floor access in coordination with the appropriate personnel.
  • Assist with onboarding employees, obtaining hardware, seating, card access, etc.
  • Assist the team with facilities coordination, including submitting service request tickets, coordinating communications efforts for building and facilities concerns.
  • Assist and collaborate with global CLAO Team Operations Coordinators to support Executive requirements, when Executives are traveling to global locations that do not have local Executive Assistant support.
  • Co-ordinates meetings, planning sessions and other events where required. Ensures suitable meeting rooms are selected and manages the logistics e.g. room arrangements, attendance, invitations, audio visual and electronic equipment, catering needs, etc.
  • Liaise with building and security teams, as well as global CLAO teams.
  • Support the distribution of facilities communication materials
  • Performs a variety of sundry administrative duties, which may include, but not to be exclusive to: photocopying, ordering and replenishing office materials and other office support as required
  • Represents CLAO from a Health and Safety and Fire Marshall point of contact.
  • Performs ad-hoc coordination responsibilities under the supervision of the local CLAO leadership.

WHAT DO YOU NEED TO SUCCEED?

Must have:

  • This role operates within a fast paced and deadline driven environment, the successful candidate must be able to focus and calmly prioritize and execute multiple tasks in a fast paced, high-pressured work environment providing fast, friendly, and accurate service.
  • Strong organizational skills and be detail oriented
  • Minimum 3 years’ experience in a coordinator capacity
  • Ability to maintain consistent and high levels of performance and multi-task projects across groups
  • Strong working knowledge of Word, Excel, PowerPoint, Outlook, and Visio and Web browsers
  • Bilingualism (English and French) required, as you will regularly serve our clients and do business with RBC partners and/or employees across Canada with English and French speaking needs.

  • Very good understanding of the processes, policies and procedures required for proactively supporting multiple people at varying levels of seniority
  • Ability to work well in a team environment and independently
  • Accept other duties as assigned
