About the role

The Muslim Association of Canada (MAC) is a nationally incorporated charity with chapters in 13 cities across Canada. We are currently seeking an Administrative Assistant to join our team in Ottawa Barrhaven Islamic Centre (MAC BIC).

Reporting directly to the Center Manager, the Administrative Assistant works under the direction of Community Initiative Director and Executive Assistant. Responsibilities include but are not limited to following:

Key Responsibilities:

  • Provide superior level support as required by the Management
  • Perform general secretarial duties: draft and revise documents, manage correspondence,
  • maintain paper and digital files, make photocopies, send faxes, open and follow up on files,
  • maintain calendar, prepare minutes, etc.
  • Receive, screen and transfer telephone calls and correspondence
  • Maintain, administer and process changes in the databases; produce reports
  • Coordinate meetings and events: send notices and invitations, arrange catering, room bookings,
  • meeting participants, travel and other duties as required; post meeting follow-up as required
  • Provide logistical support, as required, for projects and special events
  • Create, edit and format a variety of reports, correspondence and documentation
  • Prepare routine correspondence
  • Assist with content creation and management of social networks and e-mail newsletter
  • Some web research and report gathering required
  • Perform other duties as assigned

Qualifications:

  • Advanced written and spoken (English) communication and administrative skills; excellent telephone ettiquette
  • Computer literacy including MS Office products: Word, Excel, Outlook, Power Point; experience
  • with mail-merges and with customer or donor databases
  • Exceptional time-management, planning and administrative skills
  • Ability to organize and prioritize workload
  • Demonstrate high level of confidentiality, diplomacy, sound judgment and discretion when
  • dealing with various stakeholders
  • work experience and/or administrative education
  • Self-motivation and flexibility
