Project Coordinator – Build Your Career with an Industry Leader!
Location: Markham, ON Job type: Full-time, Permanent, and On-site position
RESPONSIBILITIES:
The Project Coordinator is accountable for maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures. To achieve this objective, their primary responsibilities are:
- Define the cost-controlling scope of the project(s) in collaboration with team members.
- Contribute to a detailed work plan that identifies and sequences the activities needed to complete the project successfully.
- Collaboratively determine the resources (time, money, equipment, etc) required to complete the project.
- Assist in the development of a schedule for project completion that effectively allocates the resources to the activities.
- Ensuring the project team adheres to provided timelines and deliverables.
- Ensuring documentation is maintained throughout the length of the project.
- Communicating plans, actions, risks, and issues with key stakeholders.
- Assisting the Project Manager with administrative functions and processes.
- Analyzing project data and producing progress reports.
- Collaboratively determine resources (time, money, equipment, etc.) required to complete the project.
- Cost tracking / managing subcontractor costs with internal and external platforms.
- Assist in creating, managing, and monitoring a detailed work plan, which identifies and sequences the activities needed to successfully complete the project.
- Define the scope of project(s) in collaboration with team members and management.
- Ensure field staff are aware of all internal and external safety requirements, as they pertain to certain worksites / clients.
- Support the Project Management team to ensure projects and deliverables are on time, within budget, and maintain or exceed the required level of quality.
- Help determine the objectives and measures with management upon which the project will be evaluated at its completion.
- Liaise with clients and team members to schedule day-to-day operation activities.
- Respond promptly to Customer / Project issues in co-operation with project staff and management.
- Review completed projects for teaching / learning opportunities.
- Assisting with the completion of RFPs for subcontractors, evaluating bids, negotiating price, and ensuring compliance with CSCL subcontractor qualification procedure.
- Creating and reviewing invoices and LEMS as required.
Operation
- Track ON1Call clearances.
- Assemble and disseminate ON1Call packages to the crews.
- Project materials tracking and reconciliations per site.
- Project pictures and documents upload from daily reports to the server.
- Set up files to ensure that all project information is appropriately documented and secured.
- Monitor the progress of projects and make adjustments as necessary to ensure the successful completion of the project.
- Follow a communication schedule to update stakeholders, including appropriate staff in the organization, on the progress of the project.
- Review project costs to forecast project financial outlook/ ensure projects remain on time and on budget.
- Organize, set priorities, develop a work schedule, monitor progress towards goals, and track details / data / information / activities.
Knowledge and Experience
- Post-Secondary Education
- Minimum of 2 years of industry experience
- Construction projects experience
- Excellent computer skills (Office 365, particularly Word and Excel)
- Project management credentials (CAPM / PMP are assets)
- Proficient knowledge of PMI standards and practices
- Overtime and travel may be required to meet project and customer expectations.
- Good presentation skills and excellent oral and written skills are also required.
