Senior HR Admin- Global Shared Services

About the role

We are seeking a detail-oriented and systems-focused Senior HR Admin to join our Global Shared Services (GSS) team. This role combines hands-on HRIS operations with system support and project participation, ensuring accurate employee data management and reliable system performance across HR and Payroll platforms.

The Senior HR Admin will act as a key user of Oracle HRIS, supporting day-to-day system operations, maintaining data integrity, and contributing to system-related initiatives such as implementations, upgrades, and integrations. This role is ideal for someone with strong practical experience using Oracle HRIS, who understands system workflows and data flow, and can support ongoing system maintenance and improvements in a global environment.

Key Responsibilities

  • Process and maintain employee data transactions in Oracle HRIS, including hires, terminations, and employee changes

  • Ensure accuracy, completeness, and timeliness of employee data to support downstream payroll processing

  • Perform regular data audits and validations to maintain data integrity and compliance with SLAs

  • Collect, verify, and manage employee documentation required for payroll and HR processing

  • Maintain strict confidentiality of employee information and organizational changes

    Generate and maintain reports related to employee data and HR operations

    Provide day-to-day support and serve as a key contact for HRIS-related inquiries

System Support & Maintenance

  • Act as a key user of Oracle HRIS, supporting system functionality, data accuracy, and issue resolution
  • Monitor and maintain data quality across systems, ensuring consistency between HRIS and downstream platforms (e.g., payroll systems)
  • Identify and troubleshoot data or system issues, performing initial analysis and coordinating resolution with internal teams or vendors Support ongoing system updates, enhancements, and maintenance activities

Implementation & Integration Support

  • Participate in HRIS-related projects, including system implementations, upgrades, and integrations
  • Support project activities such as data validation, testing (UAT), and post-implementation stabilization
  • Assist in ensuring accurate data flow between Oracle HRIS and downstream systems (e.g., ADP Workforce Now)
  • Collaborate with cross-functional teams (HR, Payroll, IT) to support system changes and integration activities

Process Improvement & Documentation

  • Identify and execute process improvement opportunities with a focus on automation, efficiency, and scalability

  • Create and maintain SOPs, desktop procedures, test scripts, and process documentation

  • Recommend system and workflow enhancements based on operational insights and business needs

    Support change management initiatives related to system and process changes

Stakeholder Collaboration & Support

  • Act as a liaison between Shared Services, HR, Payroll, and business units to resolve issues and support operations

  • Build strong relationships with stakeholders to ensure effective service delivery

  • Provide guidance and knowledge sharing to team members on HRIS processes and systems

    Support cross-functional projects and provide backup support within the Shared Services team as needed

Key Competencies

  • Oracle HRIS Knowledge: Strong hands-on experience using Oracle HRIS, with understanding of system workflows and data structures
  • System Awareness: Understanding of how HRIS integrates with downstream systems such as payroll
  • Operational Excellence: Ability to manage high-volume transactions with strong attention to detail and accuracy
  • Problem Solving: Ability to investigate data and system issues and support resolution
  • Implementation Exposure: Experience supporting HRIS implementations, upgrades, or system changes
  • Process Mindset: Focus on process improvement, standardization, and efficiency
  • Collaboration: Works effectively across HR, Payroll, and IT teams
  • Communication Skills: Clear and professional communication with both technical and non-technical stakeholders
  • Accountability & Ownership: Takes responsibility for assigned tasks and deliverables
  • Adaptability: Comfortable working in a fast-paced, global environment

Qualifications & Experience

  • Post-secondary education in Business Administration or a related field
  • 5+ years of experience in HRIS, employee data management, and/or payroll support within a Shared Services environment
  • Hands-on experience with Oracle HRIS (required), including data transaction, integration, and troubleshooting
  • Proven experience supporting or participating in Oracle HRIS implementations or global rollouts
  • Strong experience with system integrations , including data mapping, interface validation, and reconciliation across platforms
  • Understanding of data flow between HRIS and payroll systems (e.g., ADP Workforce Now is an asset)
  • Strong attention to detail with the ability to manage high-volume data accurately
  • Experience working in fast-paced or multi-country environments is an asset Self-driven with the ability to manage both operational and project-related responsibilities

Requirements:
Flexible for US and International work travel for project as needed

Flexible working hours to support various time zones and projects
