Terms: Full-time, Permanent

Location: Open nationwide in Canada (remote, hybrid, or in MakeWay offices)

Base Salary: $60,000

MakeWay’s Shared Platform Team is looking for a resourceful and detail-oriented Coordinator to provide grants management and database coordination. This will be a key contributing role, supporting Project Specialists in their work with a portfolio of projects on the Shared Platform and providing a high level of ongoing support for projects. The Shared Platform Coordinator reports to the Manager, Shared Platform Operations and is an integral member of the Shared Platform Team, working collaboratively with team members, as well as with a portfolio of Shared Platform projects.

MakeWay builds partnerships and solutions to help nature and communities thrive together. We are made up of two legal charitable entities: MakeWay Charitable Society, a shared platform home to 60+ innovative community-led projects staffed by 200+ change makers; and MakeWay Foundation where about 70 people are advancing place-based programs that support Indigenous-led solutions and conservation in the North, Pacific, Manitoba, and beyond via grant-making, funder collaboratives and other tools. Our people, projects, and partners are based across the country. MakeWay has offices in Vancouver, Toronto, Whitehorse, and Yellowknife and also provides flexibility and supports to work from home.

What You’ll Do:

  • Coordinate the full lifecycle of grants and other incoming revenue contributions, including tracking deadlines, handling documentation and signatures, and engaging with stakeholders for timely follow-up.
  • Data management in our Salesforce CRM, including:
  • Creating and maintaining a variety of records
  • Managing contact lists
  • Administering portal user accounts and providing basic technical support
  • Working with Information Systems (IS) and Finance teams on arising database issues, such as data clean up and data migration needs
  • Building and running recurring and ad hoc reports
  • Maintaining data quality and supporting data clean-up
  • Manage digital record keeping in accordance with established naming, approval, and filing conventions
  • Coordinate administration associated with opening and closing of shared platform projects
  • General administrative support for Shared Platform projects, including acquiring insurance certificates, administering permit and license applications, drafting responses to general inquiries, and managing event registration tools
  • Correspond directly with Project Directors, colleagues, and funders on proposals, reports, revenue, and other general administration
  • Lead onboarding sessions on MakeWay systems for new Project Directors and staff and provide continued support with any arising systems issues
  • Gain an understanding of the programmatic work and community need of Shared Platform projects in your portfolio to tailor support effectively and advocate for their requirements in process, policy, and operations
  • Additional tasks, as required, with opportunities to work with colleagues and/or lead on special projects

Who You Are:

  • A highly organized planner: You have great time management and prioritization skills. You are able to plan a month or more in advance or adjust to day-of changes.

Experience You Bring:

  • 2-3 years of related work experience in one or more of the following areas: grant coordination, data entry and maintenance, and document management
  • Expertise with Microsoft Office Suite, including strong Outlook and Excel proficiency
  • Experience working in a high-volume, deadline-oriented position
  • Experience working with large databases and datasets
  • Excellent written and spoken business English
  • Demonstrated experience with the non-profit, charitable and/or environmental sector, or a community group
  • Alignment with the goals and values of MakeWay

It Would be a Bonus if You Have:

  • Prior experience with Salesforce, Box and/or Smartsheet
  • Financial and numerical literacy
  • Experience operating in a regulated sector, such as Canada’s charitable sector
  • Ontario non-profit experience valued
  • Exposure to or understanding of the challenges and opportunities faced by groups carrying out fundraising, advocacy, or community programming
  • Strong understanding of the strengths and needs of individuals and communities that face marginalization based on race, Indigeneity, gender, sexuality, economic disadvantage, dis/ability, commitment to anti-oppression principles and practices, social justice, and decolonization

Hiring Process:

3. Phone Screen: Shortlisted candidates will participate in a 30-minute phone call with the Sr. Talent Advisor.

4. Interview 1: Candidates selected to move forward from the phone screen will participate in a first interview, typically with a panel through Microsoft Teams.

5. Interview 2: Candidates selected to move forward from Interview 1 will participate in a second interview, typically with a panel through Microsoft Teams.

6. Offer and References: MakeWay will conduct 2-3 professional references and extend a verbal and written offer to the selected candidate.
