**Position Title:**Commercial Coordinator

**Type:**Full Time

**Position Location:**Fort McKay Head Office

**Schedule:**40 Hours per week. Monday to Thursday (Alternating Friday off)

**This is a LOCAL position. Applicant must reside in the Fort McMurray Region or be willing to relocate at their own cost**

Role Summary

The Commercial Coordinator will support all aspects of contract lifecycle management from proposal to contract formation through administration and renewal while maintaining positive and effective relationships with customers, partners and the C&E team to ensure timely and accurate management of contracts.

Working in the commercial department, the Commercial Coordinator will play a vital role in supporting Operational Directors and/or Site Managers with matters related to contract interpretation and optimization in the first instance, ensuring timely support to the C&E team and to Site Managers alike. Further, Commercial Coordinator will support the smooth handover of the awarded contract to Operations & Technical Services (OTS) for execution.

Primary Responsibilities:

  • Spearhead Contract Administration best practices, including the creation and maintenance of contract repository

  • Provide change management support through change logs and change orders to maximize recovery of contract entitlements.

  • Collaborate with Director, Commercial and Finance team to quantify contract changes and leverage growth on current contracts, utilizing best practices and identifying commercial model options

  • Support the commercial team on bidding and proposal management aspects of timely and accurate proposal delivery.

  • Collect and collate appropriate input from operations personnel to improve contract management and bidding practices as applicable.

  • Identify potential opportunities and risks, and proposed solutions to improve contract formation and administration.

  • Proactively conduct periodic site visits to support cohesion, alignment, and engagement with Site Management.

  • Conduct contract audits, pulse checks and engagement surveys.

  • Timely identify opportunities for rate escalations, contract entitlements and/or rate renewals.

  • Maintain up-to-date knowledge regarding commercial models and prevailing contract law.

  • Own and deliver commercial documentation timely and accurately.

  • Promote a culture of robust document trails and evidentiary fact-based back-up for all contract changes.

  • Develop contract deliverables checklist for roll-out to Site Teams to assist in contract hand-over and transition to all other departments.

  • Manage a portfolio of clients to provide budget estimates, contract amendments and any other contract related tasks to ensure all contract optimization.

  • Work with commercial team to manage the full gambit of contract management from formation to administration through contract renewal.

  • Utilize the rates library in support of unit cost philosophy in estimating change orders, while gaining an appropriate knowledge of estimating norms.

  • Support the development and implementation of Commercial Process Framework across the Company.

  • Organize and chair team reviews and conference calls as required to meet contract critical path timelines and milestones. Chase and co-ordinate information.

  • Promote a continuous feedback improvement focus, highlighting key documents and or text.

Education and Experience:

  • Diploma or Degree in Business, Finance, Commerce, Engineering, or related discipline would be an asset.

  • 2-3 years of experience in a related field with an emphasis on operational or commercial delivery, marketing & proposal development. Civil construction or Facility Maintenance industry background.

  • Proven skill / experience in some form of document management / ownership, ideally contract management.

  • Experience working with both internal and external client groups.

  • Strong project coordination / management skills.

  • Strong business and technical writing / editorial skills required.

  • Intermediate to advanced knowledge of the Microsoft Office.

  • Strong communication skills with internal and external sources, both written and oral.

  • Ability to meet strict deadlines under pressure and organize multiple tasks.

  • Ability to read, write and comprehend the English language with a high level of proficiency.

  • Valid Driver's Licence.
