POSITION TYPE: Full-time Contract (7-Months — Possibility of Extension)

DEPARTMENT: Supporting Black Canadian Communities Initiatives (SBCCI)

AFFILIATION: Unionized Position

LOCATION: Tropicana’s Head Office, 1385 Huntingwood Drive, Scarborough, ON

HOURS: 9am – 5pm, Mon – Fri; 35 hours per week

START DATE: September 2****025

Primary Function

Reporting to the Program Manager, the SBCCI Assistant will work closely with the SBCCI team, funders,
grantees, and community partners to support seamless program delivery and high-quality engagement. Strong written and verbal communication skills are essential to the effective execution of the role.

Areas of Responsibility

Clerical/Administrative

  • Provide administrative support to the SBCCI program team.

  • Respond to email and phone inquiries from applicants, grantees, and community partners in a professional and timely manner.

  • Process Grant applications for the preparation of Schedule A’s and other Grant-related documents.

  • Review monthly, quarterly and final reports for the grant installment payments.

  • Uphold confidentiality and integrity in handling sensitive information.

  • Assist with the preparation of reports.

  • Help monitor reporting deadlines and follow up with community organizations to ensure timely submissions.

  • Support data entry, database updates, and documentation for program evaluation and reporting to funders.

  • Collaborate with finance to ensure proper documentation for payments of Grants.

  • Prepare Grant payment requisitions. Build and maintain professional relations with both internal and external contacts.

  • Disseminates information on Tropicana’s SBCCI programs and services.

Outreach

  • Assist with outreach initiatives related to SBCCI services, funding and programs.

Other Duties

  • Proactively contributes to the organization.

  • Initiates or assists with other projects and duties as required, i.e: providing reception coverage as needed.

  • Follow policies and procedures and Health and Safety standards and works in a safe manner.

Education & Experience

  • College Diploma in an Administration or Customer Service-related subject, preferred.

  • 3+ years of experience in a non-profit or administrative role.

  • Knowledgeable and familiar with Microsoft Office applications.

  • Use of professional etiquette for all written, verbal, and phone communications.

  • Bilingual (French & English) preferred.

Skills

  • Excellent customer service and communication skills both written and verbal.

  • Excellent interpersonal skills with the ability to converse with a wide range of professionals, from grantees and program contacts to Executive and C-Suite.

  • Resourceful with excellent analytical and problem-solving skills.

  • Strong time management skills and ability to work under tight deadlines.

  • Flexibility and ability to work under pressure and meet time deadlines during peak periods.

  • Ability to work effectively in a dynamic team environment, as well as work independently

  • Have excellent attention to detail and time management skills

  • Have excellent organization and prioritization skills
