About the role

Position Summary The Executive Assistant will be assigned to supporting the Vice President, Chief Nursing Executive primarily for administrative support to the assigned Executive and their portfolio, which includes support for program operations, clinical service planning and optimization along with nursing and interprofessional practice. This would include assisting in the development, organization, planning, and implementation of initiatives within the portfolio with internal and external commitments as assigned. The Executive Assistant is required to work independently with creativity and strategic proactive initiatives and as a team member with other Executive Assistants. It is essential that the Executive Assistant have exceptional interpersonal skills to facilitate and support requests from the Quinte Health staff, Leaders, Physicians, Public, Board of Directors, Government, other Hospitals, Community Agencies, Academic partners, Unions and Foundations.

Required

  • Relevant Degree or 2 or 3-year diploma from an accredited facility in Business Administration or medical administration field,
  • Strong, proven communication (oral & written), interpersonal and analytical skills,
  • Ability to work as a team member and adapt to a fast paced environment,
  • Independent and innovative self-starter must be able to function autonomously, deal with numerous interruptions and concurrent tasks,
  • Demonstrated ability and experience in office management including minute taking,
  • Current knowledge of and experience in Microsoft 365 including Word, Excel, PowerPoint, MS teams and SharePoint, Microsoft Exchange and document management systems is required,
  • A demonstrated respect for privacy and confidentiality
  • Minimum of 5 years working in a similar environment, and
  • Must be able to work on-site for all scheduled shifts. The primary hours of work are Monday to Friday, daytime hours. In addition, the role requires availability to support occasional after-hours meetings related to Executive operations and periodic travel to various hospital locations for in-person meetings. The schedule is subject to change to accommodate business needs, as determined by the Vice President.

Preferred

  • Strong understanding of PHIPPA and FIPPA legislation.

Duties

  • Coordinates all office tasks such as correspondence, monitoring and ensuring deadlines are met, completing summaries, filing of reports document management, completing, coordinating and creating presentations and letters, editing and production, prioritization and scheduling of appointments and meetings,
  • Act as a primary resource to the executive and the assigned portfolio leaders including the interprofessional practice team to arrange meetings, including booking of space and resources, development of agendas and resources packages, recording and distribution of minutes in a timely fashion,
  • As directed, assist with all aspects of work for the assigned executive including development, organization, planning and implementation to support the portfolio,
  • Collaborate and coordinate with Business Analytics, Finance, HR and Program Directors to develop, maintain and report on various performance metrics and data elements,
  • Work effectively as a team member with other administrative support positions across Quinte Health
  • Provide clerical support to areas within the assigned portfolio as directed by the Executive, and
  • Other duties as required.
