The Role
The Restore Client Care Coordinator is a fully remote, client‑focused role within Medcan’s Restore portfolio, supporting Sports Medicine and Sports Therapy & Rehabilitation services. This position is responsible for coordinating client care, managing communication, and supporting clinical and operational workflows through phone and email‑based interactions only.
The ideal candidate is an experienced healthcare coordinator who excels in remote work environments, demonstrates exceptional written and verbal communication skills, and consistently delivers a high standard of service. This role plays a critical part in ensuring care continuity, timely follow‑up, and a seamless client experience across Restore clinical services.
What You'll Do
Client Communication & Experience
- Serve as a primary point of contact for Restore clients via phone and email
- Respond to client inquiries in a timely, professional, and client‑centered manner
- Provide clear guidance to clients regarding appointment scheduling, care coordination, and clinic processes
- Address client questions and concerns, escalating clinical or service‑related issues appropriately
- Foster client trust and loyalty by delivering consistent, high‑quality remote service
Care Coordination & Scheduling
- Book, confirm, modify, and cancel initial and follow‑up appointments for Sports Medicine and Sports Therapy & Rehabilitation services
- Coordinate care across the interprofessional Restore team, including physicians, physiotherapists, chiropodists, chiropractors, massage therapists, and other rehabilitation professionals Support follow‑up care activities such as referrals, appointment sequencing, and client communications related to treatment plans
Administrative & Clinical Support
- Maintain accurate and up‑to‑date scheduling and administrative records in accordance with clinic standards and privacy requirements
- Monitor, track, and contribute to performance metrics related to email response times, phone responsiveness, and communication efficiency, supporting Restore service standards and operational targets
Operational Support & Team Collaboration
- Work closely with Restore clinical and operations teams in a remote capacity to support efficient service delivery
- Contribute to meeting service metrics, utilization targets, and operational standards Participate in problem‑solving and continuous improvement initiatives related to Restore workflows, communication, and care coordination
What You'll Need
- Minimum 1 year of experience in a healthcare coordination, medical office, or client services role
- Education or training in healthcare administration or a related discipline is considered an asset
- Demonstrated ability to work effectively in a fully remote role
- Excellent verbal and written communication skills, with confidence managing client interactions by phone and email
- Strong organizational and time‑management skills with the ability to prioritize independently
- Demonstrated commitment to exceptional client service
- Intermediate proficiency in MS Word, Excel, and Outlook. Experience in Salesforce is an asset.
- Ability to collaborate effectively with a multidisciplinary clinical team in a virtual setting Professional, calm, and discreet approach when managing sensitive client situations.
This is a permanent full‑time remote position. All duties are performed off‑site; no in‑clinic or face‑to‑face client contact is required. Work hours are aligned with Restore clinical operations and may include some evening or weekend coverage as required. The position reports to the clinical and operations director, Restore.
Position Pay Range
$41,830.00 - $57,516.25 CAD annually
Pay will be determined based on an analysis of the selected candidate's experience and qualifications within the role's compensation grade. Medcan's compensation ranges are determined by a combination of required qualifications and skills, market value, and internal equity. The above range pertains solely to the base compensation and is not inclusive of additional compensation details such as perks, benefits, and potential bonuses or incentives.
