Job summary
We are seeking a detail-oriented and proactive billing coordinatorto join our law firm's billing department. The successful candidate will have a solid understanding of legal billing practices and hands-on experience with billing. This role is integral to the invoicing process, ensuring the accurate and timely preparation and submission of client invoices while providing support to billing assistants throughout the billing cycle.
Responsibilities include:
- Monitoring and managing the billing inbox by responding promptly and professionally to internal inquiries
- Preparing, formatting and submitting electronic bills (eBills) and specialized client bills in compliance with client guidelines and firm policies
- Collaborating with billing assistants throughout the billing cycle from prebill generation to final invoice submission
- Performing various billing-related functions, including:
- Processing bill cancellations
- Executing accounts receivable (AR) write-offs
- Making adjustments and corrections
- Entering and maintaining exception rates
- Revaluating work-in-progress (WIP)
- Ensuring billing practices align with client-specific billing arrangements, agreed upon rates and client/matter-level instructions
- Proactively identifying and escalating billing issues or discrepancies.
- Coordinating with legal assistants and finance personnel to facilitate a seamless billing process
- Handling confidential financial information with high degree of discretion and professionalism
Qualifications include:
- Graduate of a recognized accounting certificate or diploma program (equivalencies may be considered)
- Two years of experience in legal billing or accounting, preferably within a law firm environment
- Proficiency with Aderant system is an asset
- Strong understanding of eBilling platforms and client-specific billing portals (e.g., CounselLink, Legal Tracker, Tymetrix, etc.) is preferred
- Familiarity with legal billing guidelines and compliance requirements (LEDES formats, UTBMS codes, etc.)
- Excellent organizational skills and ability to manage multiple priorities and deadlines
- Strong attention to detail and accuracy
- Ability to work both independently and collaboratively within a team environment
- Excellent verbal and written communication skills
