About the role

The Member Services and Events Coordinator serves as a primary point of contact for members and plays a key role in delivering an exceptional member experience. This position is responsible for supporting member recruitment, retention, engagement, and database administration, while coordinating events and activities that strengthen member connections and advance organizational objectives.

The role requires strong customer service skills, attention to detail, adaptability, and the ability to manage multiple priorities simultaneously. The successful candidate enjoys building relationships, solving problems, and working in a fast-paced environment where priorities and event requirements can change quickly.

This is a full-time permanent role. Compensation for this role will be commensurate with experience between the equivalent of $27.26 and $32.00 per hour paid as an annual salary.

The duties of the Employee include, but may not be limited to, the following:

Member Services: o Respond to member inquiries in a timely, professional, and helpful manner. o Provide information and support regarding membership benefits, programs, and services. o Process membership applications, renewals, changes, and cancellations. o Maintain accurate member records and ensure data integrity within MPower. o Identify opportunities to improve member engagement, retention, and recruitment. o Support member communications and outreach activities.

Membership Administration and Reporting: o Maintain and administer the membership database. o Generate membership reports and provide data to support decision making. o Track membership trends, renewal activity, and engagement metrics. o Contribute to the development and maintenance of administrative procedures and processes.

Event Coordination: o Coordinate the logistics of conferences, networking events, educational sessions, and member activities. o Liaise with venues, caterers, speakers, sponsors, and other event partners. o Manage attendee registration, event communications, and onsite support. o Ensure event details are organized, communicated, and executed effectively. o Respond to attendee inquiries and resolve issues as they arise. o Support post-event follow-up and reporting.

Financial and Administrative Support: o Track event expenses and maintain budget records. o Process invoices and supporting documentation. o Assist with post-event reconciliations and reporting.

Technology and Process Improvement: o Utilize Microsoft Office applications, including Outlook and Excel, to support daily operations. o Leverage technology and emerging tools, including artificial intelligence, to improve efficiency and reduce administrative workload. o Contribute ideas that improve member service, event delivery, and internal processes.

Qualifications: · Post Secondary degree or diploma in business, education, or related field is preferred. · SCMP Designation is an asset. · Experience in membership services, administration, customer service, event coordination, or a related role. · Experience working with databases, CRM systems, or membership management platforms. · Strong customer service and relationship-building skills. · Excellent organizational skills and attention to detail. · Ability to manage multiple deadlines and priorities simultaneously. · Resourceful, adaptable, and comfortable working in a fast-paced environment. · Strong proficiency with Microsoft Office, particularly Outlook and Excel. · Language of work: English

Working Condition: · Occasional travel within the region may be required. · Flexibility to work evenings and additional hours is required to support conferences, events, and member engagement activities. · Periods of increased activity should be expected during major events and membership renewal cycles.
