Summary:

Under the direction of the Inventory Management Specialist, the Inventory Control Coordinator is responsible for maintaining accurate inventory records through investigation, reconciliation, and continuous improvement of inventory processes.

This role supports inventory accuracy across raw materials, work-in-progress (WIP), and finished goods by investigating discrepancies, supporting the cycle count program, and analyzing significant job order variances.

The position plays an important role in identifying root causes of inventory discrepancies, reducing inventory variances, and supporting operational efficiency.

Responsibilities:

Key Responsibilities will include:

Inventory Accuracy & Investigations

  • Investigate inventory adjustments exceeding established thresholds to determine root cause and recommend corrective actions.
  • Investigate major JO variances including material issues, receipts, and usage variances.
  • Support audits by providing investigation details, supporting documentation, and explanations for variances.

Cycle Count Program

  • Support the administration of the cycle count program by:
  • Preparing and issuing cycle count sheets.
  • Coordinating counts with warehouse and distribution teams.
  • Reviewing count results and investigating discrepancies.
  • Entering and reconciling cycle count results in the ERP system.
  • Identifying recurring variances and recommending process improvements to reduce discrepancies.

Data Integrity & Reporting

  • Maintain accurate inventory records within the ERP system.

  • Assist with inventory reporting, variance tracking, and trend analysis.

  • Support month-end inventory reconciliation and closing activities.

  • Ensure inventory activities comply with company policies, standard operating procedures (SOPs), and audit requirements.

Inventory Accuracy, Scrap & Loss Reduction

  • Monitor and investigate inventory adjustments related to scrap, damage, and obsolescence.
  • Work collaboratively with production, warehouse, and quality teams to identify root causes of scrap and material losses.
  • Track recurring scrap trends and support corrective actions aimed at reducing material waste.
  • Ensure scrap transactions are accurately recorded, properly authorized, and supported by appropriate documentation.
  • Contribute to continuous improvement initiatives focused on improving material utilization and overall inventory accuracy.

Crosstrain and provide backup support for the Inventory Management Specialist as required.

Qualifications & Experience Required:

  • 2–3 years of experience in inventory management within a manufacturing or distribution environment.

  • Experience investigating inventory discrepancies and supporting cycle count programs.

  • Strong data entry, tracking, and reporting skills with high attention to detail.

  • Proficiency in Microsoft Excel and experience working with ERP systems, preferably on the Oracle platforms.

  • Strong organizational, time management, and follow-up skills.

  • Ability to manage multiple priorities in a fast-paced environment and work independently and collaboratively.

Education, Certification, Licenses & Registrations:

  • Diploma or certificate in Supply Chain, Logistics, Business Administration, or a related field preferred.

  • Equivalent combination of education and relevant experience will be considered.

  • APICS / ASCM coursework or certification considered an asset.

  • Ability to analyze data and identify trends in inventory discrepancies.

Physical Demands:

  • Ability to work overtime as required based on the needs of the business

  • Prolonged periods of sitting at a desk and working on a computer

  • Frequent use of hands and fingers for typing, handling documents and operating office equipment

  • Ability to lift and carry office supplies, files or small packages up to approximately 20 lbs (9kg)

  • Occasional standing, walking, bending or reaching

  • Visual acuity required for reading printed materials and viewing a computer screen

  • Ability to communicate clearly in person, over the phone and in writing
