POSITION SUMMARY
Reports to: Design Manager
The Document Control Manager shall be responsible for:
- Manage all activities related to the Document Control procedures (registration, uploading, transmitting) including technical documents, drawings, and commercial correspondence.
- Follow up with all discipline personnel for action items
- Ensure Document Data accuracy in compliance with implemented procedure and policies.
- Maintain confidentiality around sensitive information and terms of agreement
- Manage the flow of documentation within the organization and with External Project entities.
- Retrieve files as requested by individuals from different disciplines
- Creation of electronic workflows.
- Check quality of documents
- Manage document and transmittal issues with the Client and other stakeholders.
- Manage a team of document controllers
- Prepare regular and ad-hoc reports on projects as needed
- Responsible for maintaining submission schedules
- Maintain and update relevant document registers
EDUCATION AND QUALIFICATIONS
- Completion of a post-secondary education—bachelor’s degree or College Diploma preferred—or an equivalent combination of education, training, and experience in Document Management or a related discipline
- Minimum 7 years of document control experience in a construction project or site-based environment
- Proven experience in computerized and/or manual document control management, preferably within the engineering or a related industry
- Strong organizational skills and attention to detail
- Proficiency in document control software and Microsoft Office Suite
- Ability to work independently and collaboratively in a fast-paced environment
JOB REQUIREMENTS
- Experience in various electronic drawing file formats
- Advanced proficiency with applicable software applications such as Aconex, Unifier, Autodesk Construction Cloud, MS Office, Adobe Acrobat Professional, SharePoint
- Solid understanding of project documentation and engineering terminology
- Strong written, verbal, communication, and interpersonal skills.
- Fluency in English
- Exceptional organizational skills, with a proven ability to meet deadlines in a fast-paced environment
- Prior experience in using electronic document management (Autodesk Construction Cloud, Aconex and Unifier preferred) as well as in processing both design and vendor documentation
- Ability to document work tasks (e.g., work instructions)
- Experience working in a site / project team environment with the proven ability to build relationships with immediate and remote team members, clients and stakeholders.
