Job Summary
As a Project Administrator you will be a dedicated professional who is committed to building our clients’ trust through clarity, transparency, and integrity. You will be a fair, fun and firm team player. The main and most important function of this position is providing project-specific clerical support to our project managers to achieve our goal of providing our clients the best Construction Management services possible. Instruction and direction will be provided from the Project Team, and will perform daily responsibilities of this role, including but not limited to:
- Participate in Support Services Level 10 Meeting
- Assist with Pre-Construction administration including distribution of tender documents and receipt of trade pricing
- Create letters of intent and contract documents based on awarded tenders as directed by the Project Team
- Set up project specific trade accounts
- Assist with the data entry of the submittal schedule as directed by the Project Team.
- Assist with the administrative site start-up
- Prepare, monitor, and track trade payment applications and required documentation.
- Order paper copies of project drawings and specifications
- Assist with Project Documentation management and data entry including POs, RFI, Submittals, CCN, site instructions.
- Release monthly payments via cheque or electronically
- Update drawings with issued site instructions and change orders in a timely manner as directed by the Project Team.
- Oral and written communication with clients, trades and sites clarifying, correcting, and requesting information with regards to documentation.
- Collect maintenance manual documentation and prepare Architectural Maintenance Manual package.
- Assist with project closeout and warranty administration as directed.
- Project related accommodation, travel & event arrangement
- Assist with reception duties as required; including: maintaining and organizing common areas.
Qualifications
- 2 Years prior experience in an administrative role preferably in the construction industry.
- Post secondary education in an administrative, business or accounting background an asset.
- Exemplary English skills with strong analytic, mathematic, and communication skills.
- Ability to work efficiently with a service-oriented attitude, courtesy, tact, and diplomacy.
- Committed to maintaining mutually respectful relationships.
- Ability to effectively manage time, responsibilities, and priorities.
- Proficient with computers and multi-line telephone systems.
- Good working knowledge of Microsoft Office programs and skills in keyboarding.
