ROLE OVERVIEW
This role will appeal to a dynamic and detail-oriented professional who values hospice palliative care and who is eager to support a team. The Clinical Administrative Assistant is dedicated to the vision, mission, and values of the Hospice of Windsor and Essex County, and puts their best efforts forward to promote the interests of the organization as well as contribute to a positive work culture.
This part-time role will provide support to the full-time Clinical Administrative Assistant team in comprehensive administrative, clerical and general office support, utilizing specific knowledge of medical office procedures and statistical data collection.
The Clinical Administrative Assistant will collaborate with interdisciplinary team members to proactively support the operational needs of Hospice’s patients and families. In this role, responsibilities may also include additional administrative support for the Human Resource department.
The part-time Clinical Administrative Assistant may also provide flexibility to ensure back up support for the Administrative Team for vacations and leaves of absence.
PRIMARY DUTIES AND RESPONSIBILITIES
- Responsible for the processing and maintaining of electronic patient files through-out the patient journey from pre-admission to discharge/death. This includes working in multiple EMR and database softwares.
- Maintain tracking and clinical statistical data in accordance with Ministry of Health and other funding requirements
- Responsible for communicating with patients and family members for the purposes of scheduling visits and appointments, or answering general phone inquiries.
- Provide general administrative and clerical support to interdisciplinary team members as determined appropriate by the Manager of Business Operations and HR, or the Director of Clinical Services.
- As required, provide Human Resources support including job posting, resume screening, interview scheduling, document and policy updating and general administrative duties.

ACCOUNTABILITIES
- Accountable to the Manager, Business Operations and HR.
- Accountable to other team members for adhering to designated work start times and end times, lunch hours, and any other approved hours of absence.
- Accountable for performing in adherence to the Hospice Mission, Vision and Values.
- Accountable for adhering to the Hospice Policies, professional behavior and for ensuring review of such as required.
- Accountable to maintain competence through continuing education.

REQUIRED QUALIFICATIONS AND EXPERIENCE
Technical Requirements:
- Proficient in the use of electronic applications including but not limited to: Microsoft Word, Excel, Outlook, PowerPoint, Cerner (or other EMR), Health Partner Gateway (HPG).
- Excellent keyboarding skills.
- Abide confidentiality following PHIPA (Personal Health Information Protection Act) guidelines.
- Interest in pursuing a career in business or healthcare administration
Experience:
- Strong administrative, organizational and time management skills.
- Excellent interpersonal and critical thinking skills.
- Bilingual French/English an asset.
- Excellent oral, written and communication skills.
- Ability to work in a fast-paced environment and handle time sensitive situations.
- Demonstrated ability to work in a collaborative team environment
Education:
- Working towards Office Administration-Health Services two (2) year diploma or degree in Business Administration is preferred, or at least two (2) years’ experience working in a clinical administrative position is an asset.
