Studio Manager
About the role
Overview
Under the direction of the Head of Operations, the Studio Manager plays a central role in supporting daily operations, culture and the overall employee experience at the Mavericks VFX studio in Toronto. This position will operate as the operational backbone of the facility, ensuring that internal processes run smoothly, administrative and coordination tasks are effectively executed, provide general facility oversight and employees (in-office and remote) feel informed and supported.
The Studio Manager serves as a key liaison between studio leadership, artists, operations, HR and external vendors. This role requires strong organizational skills, professionalism, and the ability to manage multiple priorities.
As one of the most visible roles within the studio, the Studio Manager helps shape the day-to-day employee experience and will often provide the first impression for new hires and visiting clients, so professionalism and a warm and welcoming demeanor is a must.
RESPONSIBILITIES
Operations
- Maintain and update studio standard operating procedures (SOPs), operational documentation, workflows, internal checklists to ensure consistency across teams.
- Act as the administrative scribe for leadership meetings, documenting key decisions, action items, and follow ups.
- Prepare and compile reports for management meetings; including relevant studio health metrics and various KPIs (e.g. ShotGrid reporting).
- Maintain operations dashboards and support ongoing reporting needs across departments.
- Coordinate travel arrangements and related logistics for leadership when required.
Talent Management Assistance
- Act as the first point of contact for potential hires, coordinating interview logistics, scheduling and candidate communications.
- Assist with candidate pre-screening coordination and post-interview follow ups to ensure a smooth candidate experience.
- Help maintain and update proprietary scheduling and resource tracking software to ensure crew task assignments, project allocations and schedules are accurate.
- Analyze resourcing data and help package resourcing observations and needs into talking points and action items to address for Studio Management and HR/Recruiting.
- Conduct weekly audits of employee time logs.
- Manage daily absence management, updating internal calendars and systems (i.e. Google Calendar and ShotGrid).
- Assist HR and leadership with onboarding and offboarding logistics, particularly for in-person employees.
Office & Facility Support
- Serve as the frontline point of contact for building management and facility-related issues, including emergencies, security concerns, and maintenance requests.
- Manage incoming and outgoing deliveries, packages, and mail, ensuring timely distribution to the appropriate teams or individuals.
- Coordinate with the Accounting team regarding vendor invoices, third-party payments, and deposit handling when applicable.
- Maintain office supply inventory, including kitchen supplies, office materials, and general workplace resources, ensuring the studio remains well stocked.
- Maintain the appearance, organization, and cleanliness of the office environment, creating a professional and welcoming workplace.
- Coordinate workstation availability and seating logistics in collaboration with the IT team and internal booking systems.
- Support office improvements, projects, and facility maintenance, working with building management and third-party vendors when required.
- Maintain office signage, workplace notices, and internal policy displays where necessary.
Culture and Employee Support
- Plan and coordinate virtual, in- and out- of office studio events for the local team.
- Manage studio “merch/swag” including sourcing, ordering, and distribution.
- Coordinate quarterly staff meetings, virtual or in person.
- Coordinate client hospitality when clients visit the studio, including arranging meals and refreshments.
- Facilitate employee onboarding and offboarding logistics, ensuring new hires and departing employees have a smooth transition.
- Coordinate internal announcements, including birthdays, anniversaries, holidays
- Coordinate and distribute internal communications.
Other ad hoc duties as may reasonably be expected.
Qualifications & Essential Skills
- Strong organizational and administrative skills.
- High level of professionalism and discretion when handling confidential information.
- Strong written and communication skills.
- Experience with Microsoft Excel and Google sheets, including data organization and reporting.
- Strong attention to detail with the ability to self-QC, self-motivate and affect process improvement within Mavericks and across DreamMachine/FX North America.
- Basic understanding of contracts or employment documentation
- Familiarity with database or production tracking tools.
- Comfortable working in a fast-paced, creative production environment
- Nice To Have: Understanding of visual effects techniques, terminologies, processes and a cross functional understanding of the pipeline, departments and dependencies.
- Nice To Have: Working experience with BambooHR, Shotgrid, Filemaker, and any other HR or Post-Production related tools.
At Mavericks VFX, we believe that compensation should be transparent, fair and reflective of your experience and growth. This role has a minimum annual salary of $65,000 and a maximum salary of $75,000.
