Job Summary
This position provides support for the School of Medical Sciences (SMS) as the first point of contact for students, faculty and visitors to the university. This position is responsible for answering and directing inquiries, providing general office support to faculty, and provides administrative assistance to the educational and research programs of the School. This position is located in the Medical Sciences Building and works closely with the Operations Manager.
Job Requirements
Experience:
Must have a minimum of one (1) year of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience.
Knowledge/Skills/Abilities:
- Ability to exercise initiative, good judgement, tact, and diplomacy.
- Ability to work independently with limited supervision and resolve tasks and/or problems effectively and professionally.
- Ability to provide excellent customer service and navigate difficult interactions.
- Strong communication and interpersonal skills with demonstrated ability to relate well and work effectively within a team environment, as well as the larger UVic community and external agencies.
- Exceptional administrative skills including meeting and calendar coordination, minute taking, and use of standard office technology.
- Ability to work under pressure and meet strict and often emergent deadlines.
- Excellent organizational skills including attention to detail, time management, and ability to multi-task.
- Ability to learn new computer software as required.
- Proficiency with computer applications (i.e. MS-Office Suite, Adobe Create Suite, content management systems, and databases).
Preference will be given to applicants with:
- Experience with UVic systems (i.e. Banner, Payroll, FMIS, FAST, Emburse Enterprise) and purchasing related processes and policies.
- Experience with video conferencing tools (i.e. Zoom).
Specialized Knowledge/Education:
Secondary school diploma or equivalent.
