ADS Level 6 - Graduate and Academic Administrative Coordinator - Office of the Dean of Science - Faculty of Science
About the role
The University of Prince Edward Island is seeking candidates to work in the Office of the Dean of Science as a Graduate & Academic Administrative Coordinator.
RESPONSIBILITIES:
- Act as the first point of contact for all Faculty of Science Graduate Studies inquiries
- Support the Associate Dean GSR they coordinate admissions processes, deferrals, and logistics of defenses and candidacy exams
- Maintain records for the Faculty of Science graduate faculty, and manage all processes related to graduate student progression from admission to degree completion
- Budget monitoring responsibilities for the Faculty of Science Graduate Studies (FSGS) finances, conducting monthly reconciliations, and processing financial transactions
- Coordinate and support academic programming, as well as calendar and curriculum change processes for all academic units within the Faculty of Science
- Support academic units in the preparation and organization of quality assurance reviews
- Provide administrative support to Science Council and other committees within the Faculty
- Support and develop smooth academic operations for all units within the Faculty, including mentoring and supporting administrative assistants on common university processes.
- Planning and organizing events and activities such as the open houses, receptions, workshops, retreats and committee meetings
- Gather data on graduate program enrollment and program measure and generate reports to support evidence-based decision making
QUALIFICATIONS:
- Completion of post-secondary education in an administration assistant program with 3-5 years related experience, or an equivalent combination of training and experience
- Experience with monitoring and maintaining budgets and bookkeeping (use of university procurement and accounting systems would be an asset)
- Excellent time management and computer skills with a strong working knowledge of Microsoft Office (including word processing, email, internet searching, spreadsheets, database management)
- Demonstrated ability in written and oral communications with excellent organization and interpersonal skills
- Demonstrated ability to work independently and prioritize tasks in a fast-paced environment
- Demonstrated ability to work collaboratively with a variety of colleagues, with experience in an academic environment considered an asset
- Demonstrated ability to maintain strict confidentiality
- Knowledge of UPEI and its operations would be an asset
- Experience as an Administrative Assistant in a UPEI Academic unit would be an asset
