About the role
We are seeking an experienced and highly professional Executive Assistant to provide dedicated, high-level administrative support to our Chief Executive Officer (CEO), based in Winnipeg. This role is critical in enabling the CEO to operate efficiently and effectively in a fast-paced, dynamic corporate environment.
The successful candidate will be self-motivated, exceptionally detail-oriented, and capable of managing multiple priorities with discretion and professionalism. This is an ideal opportunity for a seasoned Executive Assistant with experience supporting senior executives who thrives on collaboration, anticipates needs, and delivers polished, high-quality results.
The Executive Assistant Will
- Provide comprehensive executive support to the CEO, including complex calendar management with a strong emphasis on proactive planning, prioritization, and follow-up.
- Coordinate internal and external meetings, including stakeholder management at all levels, organizing logistics, and accommodating last-minute changes with professionalism and discretion.
- Prepare daily briefing materials for the CEO, including meeting summaries, relevant documentation, key talking points, and a one-week forward calendar overview.
- Draft, compile, review, and coordinate confidential correspondence, presentations, organizational charts, reports, and other documents using the full Microsoft Office suite (Word, Excel, PowerPoint, Visio).
- Prepare executive-level reports and presentations, including graphics and design, compiling content from multiple sources and ensuring accuracy and consistency.
- Coordinate and manage agendas, materials, logistics, minutes, and follow-up action items for executive leadership meetings; track and ensure timely completion of action items.
- Ensure documents requiring signature are accurate, complete, and supported with appropriate background materials.
- Monitor upcoming deadlines and proactively bring forward items requiring the CEO’s attention.
- Coordinate domestic and international travel arrangements, including detailed itineraries.
- Manage expenses, credit card reconciliations, and prepare expense reports.
- Oversee and maintain executive administrative systems, databases, directories, and filing systems (electronic and paper-based).
- Support event management from planning through execution.
- Provide project management support related to business development initiatives, strategic priorities, and corporate projects, including tracking key milestones and follow-up actions.
- Assist in coordinating meetings, dinners, including agenda development, logistics, materials preparation, and follow-up tracking.
To be Successful as an Executive Assistant, You Will Need:
- Minimum of 5 years of progressive senior administrative experience supporting a CEO and/or C-suite executive(s) in a fast-paced corporate environment.
- Advanced proficiency in Office 365 applications, including PowerPoint, Outlook, Word, Excel, SharePoint, Teams, and OneDrive.
- Comfortable operating in agile, high-growth, or high-change environments and adaptable to evolving business needs.
- Demonstrated expertise in developing executive-level presentations, synthesizing input from multiple stakeholders, and translating complex information into clear, visually compelling materials.
- Exceptional organizational, interpersonal, and communication skills, with the ability to engage confidently and professionally with senior leaders and external stakeholders.
- Highly detail-oriented, proactive, and capable of managing multiple priorities independently while maintaining discretion and strict confidentiality.
- Strong time management and prioritization skills, with the ability to adapt effectively to shifting demands and tight deadlines.
- Collaborative, flexible, and results-driven, with a strong sense of ownership and accountability.
- Skilled in navigating diverse perspectives with diplomacy and focus to achieve shared objectives.
