Purpose of the role

The Senior Accounts Payable Specialist plays a key role in the rigorous, efficient, and compliant management of the full accounts payable cycle in a high-volume, multi-entity environment. Recognized for their autonomy, reliability, and professional judgment, they act as a technical reference within the team and as the right hand of the supervisor, ensuring operational continuity, priority management, and the handling of complex cases. The role holder is expected to work independently, anticipate challenges, and support the team on a daily basis.

Key Responsibilities

  • Process, verify, and post a high volume of multi-entity invoices (goods, services, overhead, etc.) and perform reconciliations with purchase orders and receipts as needed (multi-currency and intercompany);
  • Take responsibility for the entire transportation expense file (deliveries, logistics, freight, external transport);
  • Efficiently process electronic invoices, batch billing files, or automated integration systems;
  • Prepare and execute payments (bank transfers, cheques, etc.) in compliance with deadlines and internal controls;
  • Reconcile and ensure the accuracy of accounts payable on a monthly basis;
  • Proactively manage discrepancies, disputes, and complex situations in collaboration with suppliers and internal teams;
  • Review, validate, and process employee expense accounts in accordance with internal policies, verifying receipt accuracy, compliance with allowances, and correct application of taxes (GST/QST);
  • Ensure adherence to payment terms and internal policies;
  • Propose and implement improvements to existing processes;
  • Assist with month-end and year-end reconciliations and provide support for year-end audits;
  • Take on certain coordination responsibilities in the supervisor’s absence (priority management, deadline follow-up, workload distribution);
  • Collaborate closely with internal teams and act as the main point of contact for the leases department.

Requirements

  • A professional diploma in accounting (or equivalent) is essential;
  • 5 to 7 years of experience is required;
  • Fluent in French and English, both written and spoken (the role requires communication outside of Quebec);
  • Proficient in MS Office, with advanced knowledge of Excel;
  • Knowledge of Dynamics Great Plains is an asset.
