About the Role

We are hiring a hands-on, highly responsive Business Systems Administrator

who can support our internal operational technology systems, deliver quick-turnaround technical fixes, and enhance digital platforms that support 261+ clients and a growing team. This role is ideal for someone proactive, tech-savvy, and eager to learn and lead in a fast-paced franchise environment.

This is a new role

created to replace and enhance the function previously handled by our Systems Administrator. You will collaborate closely with our Automation Specialist, Digital Solutions Architect, and Operations leadership to ensure systems run smoothly and evolve with our growth.

You Might Be a Fit If You:

  • 3+ years in a systems admin, IT coordinator, or business operations support role

  • Proficient in Monday.com

    and HubSpot

    (admin level)

  • Strong working knowledge of Google Workspace

    , DNS/domain management, SSL/TLS certificate management, email management, and SaaS platform maintenance

  • Experience working with internal ticketing/helpdesk systems (HubSpot Service Hub, Zendesk, Freshdesk, Jira Service Management, or similar will be considered an asset).

  • Ability to research, troubleshoot, and solve platform problems efficiently and independently

  • Strong documentation and organizational skills

  • Comfortable in a dynamic, fast-paced, remote-first work environment

  • Knowledge of or interest in franchise operations or coaching organizations is a plus

  • Strong systems thinking, comfortable breaking down workflows into clear steps, spotting gaps, and suggesting fixes.

Key Responsibilities:

System Maintenance & Admin

  • Maintain and administer core business systems: Monday.com, HubSpot, Zoom, Google Workspace, and our ticketing/helpdesk platform
  • Implement and revise existing workflows and automation triggers (in collaboration with our Automation Specialist)
  • Handle internal tech support requests (Tier 1–2) and coordinate escalations where needed

Ticket & Workflow Management

  • Maintain and triage incoming tickets through Monday.com
  • Ensure all requests are acknowledged within 24 hours and assigned or resolved in a timely manner
  • Apply minor workflow adjustments (under 3 hours) without relying on dev or automation teams

IT Infrastructure & Compliance

  • Oversee domain management, DNS,  SSL/TLS certificate management, and internal user access (licenses, security settings, compliance hygiene)
  • Track and manage platform subscriptions, usage, and license allocations
  • Coordinate with external vendors or escalate for advanced support when needed
  • Manage virtual meeting infrastructure and conference tech setups for in-person events.

Documentation & Training

  • Create and maintain system documentation and SOPs for workflows and admin procedures
  • Support onboarding of new team members with systems access, tool training, and documentation handover
  • Train new hires and clients on system access, navigation, and tool usage
  • Collaborate with department leads to understand new tech needs and translate them into system updates

Vendor/Platform Support

  • Provide background documentation and data for platform renegotiations
  • Assist in evaluating new tools or systems as needed (not responsible for sourcing or procurement decisions)
  • Track platform licenses, renewals, and usage to reduce unnecessary costs.
  • Support renegotiation initiatives for tools such as Zoom, HubSpot, Stripe, and others by providing usage data and impact reports.

Communication & Collaboration

  • Communicate clearly and assertively with internal teams and external partners.
  • Translate technical issues into simple explanations for non-technical staff.
  • Provide timely updates on tickets, workflows, and system changes.
  • Collaborate across departments to align system use with business needs.

 

Preferred Tools (experience in two or more of the following)

  • Monday.com
  • HubSpot CRM
  • Basic HTML/web content editing
  • Google Workspace / Admin Console
  • Zoom, Canva, Stripe, Brevo (or similar tools)
  • Apple/Mac Operating Systems
  • Basic understanding of Zapier or Make.com is an asset
