Job Summary

Reporting to the Chief Campaign Officer, the Senior Manager, Campaign Operations plays a key role in driving the successful implementation and operational execution of Baycrest’s fundraising campaign. This position ensures that campaign processes, tracking systems, materials and reporting are well‑organized, consistent, and delivered on time to support leadership, volunteers, and frontline fundraisers.

The role also leads the ongoing coordination with Baycrest entities and programs to identify emerging funding priorities, keeping campaign initiatives and project information current and strategically aligned. In addition, the Senior Manager supports the development and coordination of fundraising proposals and campaign materials that reflect approved priorities and strengthen donor engagement.

Key Responsibilities

Campaign Operations and Pipeline Coordination

o Supports implementation of the fundraising campaign by translating approved strategy into workplans, timelines and tracking tools.

o Coordinates with fundraising leadership to support prospect identification, qualification and movement through the campaign pipeline.

o Coordinates execution of prospect research activities including screening, briefing materials and portfolio analysis.

o Monitors pipeline health and prepares updates highlighting gaps, risks and opportunities for leadership review.

o Coordinates preparation of materials and logistics supporting campaign leadership and volunteer meetings.

Campaign Tracking, Reporting and Data Integrity

o Maintains accurate tracking of campaign progress including gifts, pledges, forecasts and pipeline activity.

o Develops and maintains campaign dashboards, reports and analyses.

o Coordinates with finance team to ensure consistency and accuracy of campaign reporting.

Campaign Priorities and Cross Functional Coordination

o Coordinates the process for defining, reviewing and maintaining campaign priorities and project charters.

o Tracks status, readiness and funding progress of campaign initiatives

o Coordinates the ongoing process of working with Baycrest Centres and programs to identify emerging funding needs and maintain current campaign initiatives and project information.

Proposal Development and Campaign Materials

o Coordinates development of proposals for major and transformational gift opportunities.

o Supports writing, editing and assembly of proposals and supporting materials.

o Maintains campaign templates, case materials and shared tools.

Leadership & Managing Others

o Provides day‑to‑day leadership to the campaign operations team, including assigning and prioritizing work, monitoring progress, ensuring quality and deadlines are met, and offering onboarding, coaching, and ongoing performance feedback.

o Supports people and workflow management across the campaign, including recruitment and goal‑setting in partnership with the Chief Campaign Officer, while facilitating effective collaboration with fundraising, finance, data, and communications teams to advance campaign priorities.

Qualifications

  • Undergraduate degree in fundraising, business, communications or related field.

  • CFRE designation considered an asset.

  • 6 to 8 years of progressive experience in fundraising operations, advancement services, campaign operations or a related field.

  • Experience supporting major gift fundraising and campaign environments.

  • Fundraising databases and reporting tools.

  • Prospect research methods and resources.

  • Campaign reporting, forecasting and analytics.

  • Proposal development and fundraising communications.

  • Project management and process coordination.

  • CRM database, Microsoft Office suite, reporting and presentation tools.

  • Strong organizational and execution skills.

  • Excellent writing, editing and presentation skills.

  • Ability to coordinate multiple projects and deadlines.

  • Strong collaboration and stakeholder management skills.

Compensation

We believe compensation should be transparent, equitable, and reflective of your experience and growth. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.

For this position, the salary range is $111,580 to $139,475.

Your placement within the target hiring range will depend on your job-related knowledge, skills, abilities, and relevant education and experience, as well as considerations such as market conditions and internal equity. The starting salary will be determined using these factors to ensure fairness and consistency across the organization.
