Position Overview:

We’re seeking a dedicated student focused professional who will play a critical role in managing the operational excellence, continuous innovation, and growth of the Georgian College ONEcard program, which serves as the College’s official student identification and multifunctional access and transaction card. This position plays a pivotal role in ensuring a seamless and engaging experience for students, faculty, staff, and partners across Georgian campuses. Key Responsibilities:

  • Lead the day-to-day operations of the ONEcard program, ensuring high-quality, consistent service delivery across all Georgian campuses and digital platforms.
  • Manage the lifecycle of physical and mobile ONEcards, including issuance, replacements, and account management.
  • Serve as a first point of contact for technical and customer service inquiries from students, faculty, staff, and external vendors.
  • Coordinate and monitor ONEcard-related hardware and software, including card printers, readers, mobile app integrations, and payment terminals.
  • Troubleshoot and resolve ONEcard system issues, collaborating with IT, external vendors, and service partners as needed.
  • Provide leadership, training and support to front-line staff, co-op students, and student ambassadors involved in ONEcard service delivery.
  • Safeguard student and vendor data by maintaining secure systems, enforcing vendor credential protocols, and coordinating with IT and Legal on privacy compliance and breach mitigation.
  • Manage the planning, testing, and execution of major system changes (e.g. mobile ONEcard, system upgrades), ensuring user readiness and minimizing disruption to student experience and service delivery.
  • Oversee the accurate processing of student and vendor financial transactions, monitor for discrepancies, and lead resolution efforts to mitigate financial loss and reputational harm.
  • Develops and monitors the annual operating and capital budget for the ONEcard program, ensuring alignment with divisional and institutional priorities (e.g. sustainability, access, innovation).
  • Develops and presents to Senior Management business cases and cost-recovery models for new initiatives, including technology upgrades, vendor integrations, and service expansions
  • Manage the financial processes of the ONEcard program, including account reconciliation, transaction processing, and reporting.
  • Implement and maintain automated financial processes (e.g., daily journal entries, monthly reconciliations) in collaboration with Finance and IT.
  • Conduct regular audits and ensure compliance with college financial controls and audit standards.
  • Monitor vendor revenue streams and track KPIs related to program sustainability, accessibility, and financial performance.
  • Identifies and mitigates risks related to overspending, revenue shortfalls, or cost escalations (e.g. delays in technology implementation, vendor pricing changes).
  • Collaborate with IT on system enhancements, upgrades, and testing to ensure seamless integration with Banner and other College systems.
  • Participate in College-wide committees and working groups to represent ONEcard interests and contribute to broader student service enhancements.
  • Maintain involvement with relevant industry associations (e.g., NACCU) to stay current on trends, innovations, and best practices.
  • Create and manage work schedules for student and part-time staff, adjusting for volume spikes (e.g., orientation, move-in, events) or staff absences.
  • Work with the Marketing and Communications teams to develop and maintain ONEcard-related web content, promotional materials, and social media campaigns.
  • Foster partnerships with campus and community stakeholders to expand ONEcard offerings and enhance student experience.

Qualifications:

  • Successfully completed a 3-year degree/diploma in Business/Office Administration or a related field.
  • Minimum three years of experience in a busy office environment
  • Knowledge of credit/debit card office operations and payment processing are an asset.
  • Strong technical and financial skills including basic accounting, MS Office (especially excel), and problem solving a wide variety of technical issues in conjunction with IT.
  • Experience developing and delivering demonstrations or informal instructions.
  • Customer Service and Issue Resolution in a High-Volume Environment
  • Project Coordination and Technology Implementation
  • Vendor and Stakeholder Relationship Management including negotiation
  • Demonstrated ability to manage/assess programs, implement initiatives, interact at all levels within the organization, and effectively manage budget and human resources issues
  • Excellent organizational skills with the ability to multi-task and manage multiple priorities and deadlines
