Estimator/Project Coordinator
About the role
We are looking for an experienced Estimator/Project Coordinator for our Restauration Division - Heather & Little.
Responsabilities 1 -Job Coordination - Communication and Document Control

Review and read the project drawings and specifications, and details.

Let OC know when a job is Won. Send the OC:
-
Specs and Drawings.
-
Take off QTYS and estimated QTYS of materials to order
-
Sage Estimate.
-
Any relevant estimates from subs.
-
Approvals (e.g. signed estimates, email approvals, POs etc).
-
Labour hours (shop and field) so the OC can update this on the Labour Summary Board.
-
E/PC to relay information from the OC to the GC and Architects.
-
Keep OC in the loop for all communications with the GC and Architect.
-
If the E/PC has concerns, relay this to the OC, and the OC will relay it to the Field Project Manager (Field PM) and/or Shop Project Manager (Shop PM).

Review submittals and RFIs and ensure that they correspond with both specs and budget!
-
Create shop drawings for submittals and shop drawings for plasma cutter.
-
Attend Start Up Meetings and point out important aspects of the job.

Attend site visits / virtual for both the estimates and ongoing projects if necessary.

Attend Production and Operation meetings and point out any important notes or comments.
-
Review the labour hours every 2 weeks and notify OC of any concerns.

Provide progress billing to OC and provide GC with any supporting documentation (Photos).

Prepare along with OC close-out documents.

Review and sign LOIs.
2 -Job Coordination - Site Instructions and Change Orders
- Review and price all Change Orders and extras for ongoing jobs.
- Communicate any concerns with Field PM related to the CO
- Follow up with GC about change orders.
- Notify OC when a change order is approved/denied. Provide all related information and drawings.
3 -Job Coordination - Scheduling
- Communicate scheduling requirements so that the OC can relay with the Field / Shop PM.
4 -Estimating

Attend site visits / virtual for both the estimates.

Review and read the project drawings and specifications, and details.

Ensure all questions and RFI are requested during the bidding stage.

Record and document the scope of work and notes for exclusions.

Ensure clear scope of work and notes are communicated with the GC and Subs.

Prepare takeoff for the scope of work.

Prepare the scope of work package for Subs for pricing (to be used when the project is awarded for generating contract w/ Sub).

Provide schedules and duration to the client at the estimating stage (when requested).
-
Create sage estimates, ensure the sage estimate is accurate and all pricing is up to date, and all costs are captured.

Create an estimate/contract that included the scope of work and notes and exclusions.
-
Review contacts before signing, and ensure all changes were captured from the base contract or addendums.
-
Follow up with the client on the project schedule.
-
Send OC estimates to be updated on the Estimate Board.

Ask OC for pricing.

Review Bid Sites (see Monday Board) to look for potential job opportunities
-
Sales-related communications (pre-tender, during tender, post-tender) and building relationships with potential customers
