Reporting to the Associate Dean, Medical Imaging, and the Program Manager, Allied Health, the incumbent is responsible for the facilitation and coordination of the field placement/clinical/practicum process for academic programs offered primarily in the Department of Medical Imaging, with a supportive role in Allied Health. These placements may be organized as part of academic programs at any of Mohawk College’s campuses, including Fennell and the Institute for Allied Health Sciences at McMaster.
What you’ll be doing:
Student Preparation and Development
- Organize, facilitate and oversee the overall field placement process. This includes providing knowledge, expertise, and insight regarding meaningful and available placement opportunities that will advance students towards the acquisition of vocational and essential employability skills to achieve goals and aspirations after graduation.
- Leading placement-related student communication throughout the placement process, from the preplacement period through to completion of final placement.
- Liaises with faculty and relevant administrative staff, and then establishes and executes on communication plans, sets dates and deadlines for placement preparation processes, and serves as principal point of contact for students regarding the placement processes.
- Supporting student attainment of placement preparation requirements, including communicating and tracking completion of immunization and other requirements in the NIRV system, professional behaviours expectations, resume/cover letter development, communicating requirements and confirming attainment of international co-op work permits, agency-specific on-boarding, college/department protocols, policies, procedures, and other requirements for placement.
- Advise students on agency-specific placement requirements and outcomes. Compile and review student and agency placement requests to assess and determine field placement suitability. Approve and notify students of their placement agency and monitor the security of their placement during interview process. When a student is unsuccessful in securing a placement opportunity, the incumbent will request feedback from agencies, analyze and review findings with the student, and create and implement a course of action that will chart the student on a route to success.
- Works with faculty to lead clinical orientation sessions before students go on placement.
- Lead placement assignment processes, including forms of allotment or application, to place students at appropriate placement locations. Lead on student communications regarding their placement assignment and any related requirements or questions. Facilitating student visits to placement sites for interviews, where applicable.
- Coach students in leveraging the connections they are making between placement opportunities, employability skills, program learning outcomes, institutional learning outcomes, program vocational outcomes, and ultimately future employment goals.
- Review and confirm accurate completion of placement documents and assignments.
External Community Partnership
- Work with faculty to identify potential placement sites, contact potential sites, evaluate appropriateness of new site for program competencies and learning outcomes, and develop relationships with site staff and management.
- Support the creation of affiliation agreements with new placement sites, check and review affiliation agreements with existing placement sites for currency and program-specific requirements, work with Experiential Learning team to update expired affiliation agreements and maintain accurate information in relevant databases.
- Maintain database/files of available placement locations and placement capacity, including an updated primary contact list for all placement locations, identifying who should receive contact requests. Contact placement locations regarding availability for the upcoming semester and facilitate securing placements for students. Advise on updated procedures in place for community partners, preceptors, and new agency requirements. Update community partner profiles and programs, gather and compile data to support sound decision making by the college and its partners in relation to placement trends/shifts.
- Primary contact for placement supervisor concerns and inquiries while students on placement, triage academic issues to the associated faculty member. Manage MyCanvas Connect (or other platform) used for communication and sharing of information with supervisors and placement agencies. Responsible for communicating, updating, and general relationship management with the placement sites while students on placement. Work with faculty to deliver agency supervisor workshops or training.
- Use software to track student placement details, completion of student placement hours, and support faculty/placement supervisor in evaluating student competency attainment. Load student and agency supervisor information into CompTracker, or other relevant software.
- Train students and placement supervisors in necessary placement software tools, provide initial trouble-shooting support, liaise with software vendors, and develop resources and documentation to support software use in program areas.
- Support faculty site visits, by facilitating scheduling, communication, resource development, and visiting sites.
- Create learning contracts for students regarding professional behaviours-related issues.
- Point of contact for employers requesting grads for recruitment.
- Liaising with external education institution partners involved in the program and related placements.
Faculty and Institutional Engagement
- Support accrediting or professional body requirements of individual programs, where applicable, regarding maintaining clinical site profiles, personnel profiles, and other data requirements, as well as supporting relevant elements of accreditation process, including site visits and interviews. Submission of required documentation (CCSA tool) to Sonography Canada in collaboration with faculty.
- Liaise with Institutional Research regarding clinical survey timelines and lists of sites to be surveyed.
- Research, source and inform trends/best practices concerning placement. Advise of relevant issues from faculty, agencies and students for program adoption of procedures and policies. Act as a bridge between theory to practice and essential employability skills. Provide recommendations to academic staff on placement policies and procedures.
- Assist in the development of administrative processes, document trails, other metric systems for purpose of capturing performance data, including agency and student satisfaction results, participation levels, and other placement employment success measures.
- Provide recommendations to Faculty based on performance in the field and documentation. Use data to generate reports and contribute during curriculum and program advisory and promotion meetings.
- Contribute to the attainment of the college’s strategic priorities by leading and/or undertaking special projects approved by or assigned by the Program Manager.
- Support student recruitment and program reputation by attending events, providing content and support for social media and the college website, developing placement related external communication documents, and other activities.

What you’ll bring to the role:
- An education in Medical Imaging – graduate certificate, diploma, advanced diploma, or degree.
- Minimum 3 years of practical related experience in healthcare or human services setting appropriate for applicable programs.
- Proficient in Windows, Microsoft Office, email, online calendar system, and an asset to have knowledge of Canvas or another LMS.
- Mental Health First Aid or experience within the Mental Health field is an asset.
- Certification College of Medical Radiation and Imaging Technologists (CMRITO).
- Valid driver’s license to travel to placement sites.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
