General

The Facilities Administrator is responsible for ensuring the smooth operation, maintenance, and logistics of an office with over 250 employees in Montreal. Organized, flexible, and motivated by the administrative challenges of managing an office with a diverse staff, they also ensures that all premises are properly maintained.

Responsabilities

Budget and Procurement Management

  • Creates purchase requisitions and purchase orders in SAP
  • Processes purchase orders
  • Verifies, approves, and files all invoices in accordance with the company’s cost center structure
  • Manages relationships with facility suppliers

General Management functions

  • Oversees the management, planning, and coordination of initiatives and projects related to space reorganization
  • Helps develop and disseminate standards, guidelines, policies, and procedures related to space management
  • Manages the workstation allocation chart in collaboration with HR

Maintenance:

  • Plans and coordinates all preventive maintenance programs
  • Assesses and prioritizes issues related to the HVAC system
  • Works with the property owner on all services provided by the owner

Office Administration

  • Serve as the primary point of contact with the property management company for all matters, procedures, and protocols related to the building
  • Ensure that all common areas are always ready to welcome guests
  • Oversee contracts and relationships with external maintenance providers and coordinate technical services as needed (e.g., plumbing, electrical, HVAC, printers, etc.).
  • Manage relationships and services with all postal and freight service providers (FedEx, UPS, etc.)

QUALIFICATIONS

  • Bachelor’s degree in business administration (preferred)
  • 3 to 5 years of experience in facilities management is generally required
  • Fluency in French and English, as you will be required to interact with partners outside Quebec
  • Equivalent combination of education and relevant experience accepted
  • Strong organizational, adaptability, and flexibility skills
  • Excellent interpersonal and communication skills (both written and verbal)
  • Proficiency in Microsoft Office (Excel, Word, and PowerPoint)
