Assistant Deputy Minister Administrative Assistant

Your role

As the ADM Administrative Assistant, you’ll support our vision and values by providing a full range of executive and administrative assistance to two Assistant Deputy Ministers (ADMs) and be a key contact for the ADMs’ office. This includes liaising and exchanging information with the Deputy Minister’s office and senior officials from other departments and governments regarding the work of the ADMs.

To be successful in this role, you are an administrative professional who is highly organized, self-motivated, has excellent senior level administrative and interpersonal skills, and who exercises diplomacy and confidentiality in their day-to-day work. You should enjoy taking initiative and handling a diverse workload. Strong prioritization and organization skills are required to respond to and manage work assignments from two senior managers.

Essential Qualifications
To be considered for this opportunity, you’ll need to demonstrate how you meet the following qualifications in your resume.   • Diploma or certificate in office or business administration or a related field.
  • Experience providing administrative and financial support services to senior leadership, preferably in a government setting.
  • Experience managing official records and correspondence in accordance with government policies and records management systems, including the ability to organize, retrieve, and archive sensitive documents securely and accurately.
  • Experience coordinating and preparing materials for senior level meetings.
  • Experience tracking information such as inquiries, documents and information.
  • Experience with SharePoint and Proof is an asset

Candidates who have education, training, and/or experience equivalent to the above qualifications may be equally considered.

Desired Knowledge, Skills and Suitability
To support key objectives and strategic/operational needs of this position, candidates will be assessed on the following:

  • Strong written and oral communication skills;
  • Highly organized;
  • Self-motivated and able to take initiative;
  • The ability to act tactfully and use diplomacy when dealing with confidential matters;
  • Ability to prioritize a diverse and busy workload; Excellent client service skills.
