DEPARTMENT: PATIENT RELATIONS
LOCATION: OWEN SOUND**** **UNION AFFILIATION: NON-UNION
STATUS: FULL-TIME, TEMPORARY (APPROX. END DATE NOVEMBER 2026)** Position Summary As a member of the Quality and Safety department, the Administrative Assistant provides support to Patient Relations, Patient Safety and Nurse Clinician areas. The Administrative Assistant will provide intake for Patient Relations office and provide administrative and technical support for the patient safety events reporting system. Work duties will also include establishing and managing patient experience surveys for the hospital as well as working with hospital insurance and legal cases. Flexible work hours to support a variety of committees and meet deadlines is required. The Administrative Assistant balances multiple responsibilities and has effective critical thinking, problem solving and time management skills. The Administrative Assistant has a professional customer service orientation to represent the corporation and liaise with the public, staff, visitors and external partners.
Required Qualifications / Skills / Abilities:
- Successful completion of a post-secondary office administration program, and one to three years administrative/secretarial experience, preferably at a senior level
- Experience working in a health care environment is an asset as is experience with Board governance
- Intermediate to advanced level computer skills including ability in Excel, Word, Power Point and Internet based applications, to be tested
- Keyboarding skills minimum 60 words per minute (to be tested)
- Excellent written communication and proofreading skills (to be tested)
- Experience with developing schedules and use of database software is an asset
- Knowledge of patient safety incident reporting software is an asset
- Produce accurate, timely minutes / action summaries for circulation and historical record
- Knowledge of committee process and procedures
- General knowledge of the corporation and its six Hospital sites
- Strong desire to work collaboratively as a team player and ability to work well independently
- Excellent organizational, communication and interpersonal skills
- Excellent critical thinking and problem solving skills
- Ability to effectively maintain confidentiality
- Effectively handle multiple demands; complete assignments in an accurate and timely manner
- Ability to travel to other sites as required
- Ability to develop attractive and detailed reports, newsletters, PowerPoint presentations, and other correspondence such as letters, memos
- Recent satisfactory performance and attendance record
