The Junior Recruitment Coordinator provides essential administrative support to the recruitment team, ensuring an efficient hiring process and a positive experience for candidates and internal stakeholders. This role assists with processing applications, scheduling interviews, maintaining recruitment records, and handling candidate communications. The Junior Recruitment Coordinator will also conduct interviews and support candidate selection for limited assigned departments. This role reports to the Head of Talent Acquisition and works closely with the HR team, hiring managers, and Staff Lodges.
Job Functions
Recruitment
- Posting and maintaining job advertisements.
- Assisting in preparing job requisitions and offer letters.
- Responding to recruitment inquiries with company and position information.
- Ensuring up-to-date, consistent information is published and available to candidates.
- Assisting in reviewing applications, shortlisting candidates, and coordinating reference checks.
- Conducting interviews and supporting candidate selection for limited assigned departments.
- Issuing and tracking offer letters, ensuring accuracy and consistency.
- Assisting with recruitment programming, such as hiring fairs and internal presentations.
- Tracking and monitoring work permits and visa documentation for international hires.
Workplace Administration
- Maintaining accurate and up-to-date recruitment records and reports.
- Assisting in document management within the HRIS system.
- Ensuring timely and accurate reporting.
- Providing professional and confidential service to employees, assisting with inquiries, and supporting policy interpretation.
- Ensuring adherence to department standard operating procedures.
Other duties and specific projects may be requested and assigned from time to time.
Experience/Requirements
- Post-secondary education in human resources, business administration, or a related field is preferred.
- Previous administrative experience, preferably in HR or recruitment, is an asset.
- Previous experience conducting interviews or participating in hiring decisions is an asset.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new systems.
- Experience with HRIS systems (e.g., Ceridian Dayforce) is an asset.
- High attention to detail and accuracy in data entry and document preparation.
- Professional and friendly demeanor with a customer service-oriented approach.
- Ability to work in a fast-paced environment and adapt to changing priorities.
Additional Considerations
- Fast-paced, team-oriented environment with a fluctuating workload.
- Must always maintain confidentiality and professional conduct, on or off duty, and online.
