We currently have a Dispatch Service Coordinator opportunity for talented and creative people to be part of our team in Port Coquitlam. We are looking for motivated, multi-faceted technically inclined coordinators who enjoy working on a wide variety of tasks, are quick to learn, and are keen to make a significant contribution to a successful and growing company. The expected salary range for this position is $90,000 - $115,000. OVERVIEW OF RESPONSIBILITIES:
- Monitor and track unscheduled or open PM work orders\ Provide logistical support to the field to assure maximum output.
- Ensure timely distribution of scheduled PM billings
- Dispatch Service Technicians
- Create and assign work orders to technicians
- Coordinate subcontractor requirements
- Assist with onboarding new hires when needed
- Assist with administrative functions related to Building Services division
- Support field technician requests
- Qualify every request for service to establish maximum response time requirements.
- Inform Plumbing Services Manager of work progress, customer relations, field personnel relations, material administration, and other matters affecting service operations.
- Advise Plumbing Services Manager of customer complaints to expedite resolution ensuring and maintaining long term relationships.
- Effectively communicate resolutions to the customer.
- Determine and dispatch appropriate service representatives to ensure quick and efficient resolution of problems, while building and maintaining customer confidence and satisfaction.
- Dispatch service personnel to satisfy customer problems based on skills, nature of problems, location of problem, and location of personnel.
- Provide effective work schedules for field personnel to maximize use of skills while cost effectively meeting customer needs and providing contingency time for emergency calls.
- Build and maintain rapport and positive working relationships with field and office personnel to resolve problems, employ opportunities and maximize profits.
- Build rapport and productive working relationships with customers, vendors, and other outside contacts.
- Dispatch plumbing personnel and equipment in accordance with applicable contractual agreements.
- Oversee and manage Services billings which consists of work orders and maintenance contract
- Ensure timely distribution of scheduled PM billings
- Create and assign work orders to technicians -both
- Review and confirm accuracy of technicians’ weekly timesheets
- Amalgamation of information to allow for project set up
- Attend regular service meetings
- Coordinate subcontractor requirements
- Weekly review of work orders and purchase orders
- Assist with administrative functions related to the Controls Service division
- Support technicians
- Enforce and adhere to the company's policies and procedures and Business Code of Conduct.
- Perform other duties as may be assigned
QUALIFICATIONS AND EXPERIENCE:
- 2-5 years working in an office environment
- Excellent customer service aptitude
- Strong communication skills, both verbal and written
- Comfortable interacting with clients, operations, and field teams
- Ability to adapt to new processes and work well under pressure
- Great attention to detail with a high degree of accuracy
- Exceptional time management and organizational skills
- Must be a self-motivated person with the ability to work at fast paced professional level
- Ability to work effectively both independently and within a team
- Ability to maintain professionalism with high level of integrity
- Computer literacy with proficiency in MS Office (Excel, Word, Outlook)
- Working knowledge of ERP systems
