ACCOUNTABLE TO: Events & Experiences Manager

Brief Overview:

The Events Specialist leads the planning and execution of an assigned portfolios of events within Métis Nation–Saskatchewan. These portfolios may include a mix of high-profile, regional, and program-related events. The role is accountable for full lifecycle event management, including scoping meetings, contracting, budgeting, scheduling, and operational execution, ensuring alignment with organizational standards and priorities. The position also provides technical production support, including coordination of audio-visual requirements and on–site labour needs, while supporting coordinated delivery across the broader events portfolio.

Key Responsibilities:

Event Planning and Logistics

  • Develop event schedules, workplans, and delivery timelines.
  • Secure venues and coordinate catering, audio‑visual, and technical requirements.
  • Lead vendor coordination to ensure readiness and alignment to scope.
  • Ensure logistics support a smooth, professional event experience.

Budget Management and Contracting

  • Develop event budgets and manage costs through delivery and close‑out.
  • Review, negotiate, and manage event-related contracts and renewals.
  • Track expenses, manage invoices, and monitor budget variances.
  • Ensure events are delivered within approved financial parameters.

Project Scope and Feasibility Assessment

  • Assess event requests and considers scope, capacity, and complexity.
  • Identify risks, dependencies, and required resources early in planning.
  • Manage scope changes and operational trade-offs during delivery.
  • Ensure commitments align with timelines, budgets, and staffing capacity.

On-Site Operational Leadership

  • Lead event setup, registration, and on‑site coordination.
  • Resolve operational issues in real time to maintain momentum and quality.
  • Provide clear direction to staff, volunteers, and vendors on site.
  • Ensure a safe, organized, and welcoming event environment.

Event Systems, Data & Reporting

  • Lead event registration, attendee management, and data capture using event management software.
  • Manage attendee communications, tracking, and reporting.
  • Evaluate event success using feedback, surveys, and performance metrics.
  • Prepare post‑event reports with lessons learned and recommendations.
  • Other duties as assigned.

Knowledge and Skills:

  • Strong knowledge of end‑to‑end event planning and delivery, including complex and high‑profile events.
  • Knowledge of Métis culture, values, and community protocols, or demonstrated ability to work respectfully in an Indigenous governance context.
  • Proficiency with Microsoft 365 (Word, Excel, PowerPoint), SharePoint, Teams, and virtual meeting tools (Zoom, EventBrite, Facebook Events).
  • Demonstrated ability to assess project scope, feasibility, risks, and resource requirements.
  • Proven experience developing and managing event budgets, tracking costs, and controlling variances.
  • Solid skills in contract review, negotiation, renewals, and vendor management.
  • Proficiency in event management systems for registration, communications, and reporting.
  • Strong organizational and operational judgment, including on‑site decision‑making under pressure.

Qualifications:

  • Minimum 4–6 years of progressive experience in event planning, coordination, or delivery.
  • Degree or diploma in event management, communications, hospitality, business administration, or a related field, supplemented by Saskatchewan-based professional development such as Saskatchewan Polytechnic coursework and/or Tourism Saskatchewan (Emerit) Event Management certification, along with additional training in event planning, logistics, and operations.
  • Direct experience managing event budgets and contracts.
  • Hands-on experience using event management software.
  • Experience working in a government, public sector, community, or Indigenous organization is a strong asset.

Additional requirements:

  • A valid Saskatchewan driver’s license and/or access to reliable transportation to our downtown location would be required.
  • Physical requirements include sitting and computer work. Some lifting and extensive standing/walking during events.
  • The successful candidate must undergo a Criminal Record Check and Vulnerable Sector Check.
  • Willingness to work evenings and weekends as required by event schedules.
  • Must have completed or willing to complete CPR certification.
  • Must have completed or willing to complete Food Handler Safety certification.
  • The Travel requirement for this position is 40%.
