Location: Victoria, BC - Primarily in person at the household property or from the satellite office located near the house.
Compensation: $65,000 – $75,000 annually, commensurate with experience.
OVERVIEW
We are seeking a highly organized, reliable, and proactive Personal Assistant to provide direct support in managing household, lifestyle, and personal responsibilities. The ideal candidate will bring flexibility, strong problem-solving skills, and a service-oriented mindset, ensuring smooth day-to-day operations and the highest level of discretion.
This role requires an individual who thrives in a dynamic environment, can balance multiple priorities, and enjoys variety in daily tasks.
KEY RESPONSIBILITIES
Scheduling & Coordination
- Manage personal calendars, appointments, and household schedules.
- Maintain key contact information and coordinate communication with family members, service providers, and personal contacts.
Household & Vendor Management
- Oversee contracted household services (cleaners, cooks, contractors, trades, etc.).
- Ensure high standards of household care, including health and wellness product use and safety practices.
Wardrobe Management
- Maintain and organize wardrobe, ensuring clothing is cleaned, tailored, and seasonally prepared.
- Pack and prepare wardrobe requirements for travel and events.
Pet Care
- Manage care schedules for household pets, including feeding, grooming, exercise, and vet appointments.
- Coordinate with pet sitters, trainers, or other professionals.
- Support participation in dog shows, including registration, logistics, and attendance.
Travel & Lifestyle Support
- Arrange personal travel, including itineraries and packing preparation.
- Run errands and assist with personal shopping.
- Support meal planning, preparation, table setting, serving, and clean-up when needed.
Event & Social Planning
- Assist with planning and executing household gatherings, celebrations, and special events.
- Coordinate with venues, caterers, and service providers as required.
Technology & IT Support
- Manage access to personal accounts, ensuring passwords and security are maintained.
- Liaise with IT support to resolve household technology issues.
Financial & Personal Administration
- Assist with expense tracking, budgeting, and payment of household invoices.
- Organize and file household and personal documents as needed.
Additional Personal Support
- Provide flexible assistance with a wide range of personal tasks as required.
- Maintain the highest level of confidentiality, discretion, and professionalism.
QUALIFICATIONS, SKILLS, & ABILITIES
- Minimum 5 years’ experience as a Personal Assistant, Household Manager, or similar role.
- Post-secondary education in administration, hospitality, or related field is an asset.
- Valid Class 5 driver’s license, clean driving record, and reliable vehicle.
- Valid Canadian passport with ability to travel domestically and internationally.
- Strong organizational skills and ability to manage multiple priorities.
- Proficiency with Microsoft Office Suite, Apple products, and basic technology troubleshooting.
- Excellent communication skills and interpersonal ability.
- High attention to detail, service-oriented, and adaptable to changing needs.
- Flexible availability, including evenings, weekends, and occasional holidays.
