Program Coordinator, Youth Programs

Reporting to the Manager, Business Strategy, the Program Coordinator, Youth Programs works as part of the Admissions & Recruitment (A&R) team supporting learners at early ages and stages to discover pathways into art & design education. The incumbent supports the development of learning opportunities in art & design that meet the specific learning aspirations of young learners and emerging creatives. As part of program development efforts, the incumbent supports coordination with community partners and assists with administrative and logistical aspects of programs to ensure smooth operations. This role coordinates delivery of new and existing programs designed for young learners, such as the International Summer Art and Design Residency, Summer Workshops, Make it summer camp, and Portfolio Clinics. Leading these programs will include program registration processes, student support, and supporting program day to day logistics.
Summary of Responsibilities:
Program Delivery:
- Assist with the planning of custom programs, summer programs, and workshops for young learners, including preparing program itineraries and schedules
- Respond to inquiries from parents and potential participants, and provide assistance with registration and program preparation as needed
- Support the hiring process, including administering and collecting new hire documentation, troubleshooting related questions, and assisting with the onboarding of new instructors
- Provide day-to-day support for custom programs, summer programs, and workshops by assisting instructors and facilitators while ensuring high-quality customer service
- Track, monitor, and evaluate the effectiveness of portfolio and education programs and experience of participants through surveys and report writing
- Work with instructors and shop technicians to source supplies for workshops and assist with budgeting and expense tracking
- Work with Facilities & Studio Services to reserve suitable workshop spaces
- Coordinate and liaise with class assistants, shop technicians, student monitors and instructors as needed
- Provide administrative support in managing program budgets, financial resources, and procurement processes
Program Development:
- Actively engage in team meetings to discuss A&R’s program development framework
- Supports the Manager in assessing the convenience and feasibility of new learning opportunities as consulted
- Collect and organize data to support strategic marketing, branding, and advertising opportunities
- Working closely with the Manager Business Strategy and Director, Learning Pathways, research, identify, and propose networks, partnerships, and relationships to strengthen program offerings
- Support program development framework to help create new learning opportunities for young learners
- Support the Manager with outreach and relationship development with education and community partners
- Support the Manager in developing educational materials, resources, and workshops that prompt experiential engagement with art & design education and portfolio development
Recruitment Support:
- Participate in virtual presentations and online webinars or workshops about OCAD University (OCAD U) programs, portfolio and application process, student life and community, as well as life in Toronto
- Support the A&R larger team in recruitment events, as required
- Support the A&R larger team in portfolio reviews and portfolio assessments, as needed
- Attend walk-ins in the OCAD welcome center to support prospective students, parents, and the public in general regarding inquiries and consultations about OCAD U
Qualifications:
- OCAD University degree and a strong interest in art, design and the OCAD University community
- Minimum of two (2) years of experience providing administrative support; experience supporting accessible and inclusive art and design workshops; direct workshop facilitation is an asset
- Experience with educational programs for young learners is an asset
- Excellent writing, editing and communication skills
- Demonstrated ability to work independently and within a team in a a virtual and in-person context
- Strong organizational skills
- Knowledge of OCAD U programs, curriculums, and admissions requirements
- Demonstrated presentation, interpersonal and verbal communication skills and problem solving
- A demonstrated commitment to the principles of equity and diversity and experience promoting a care-centred and respectful work and learning environment for students, staff, and faculty
- Flexibility in work hours; must be willing and able to work evenings and weekends, as required
Compensation: OPSEU Unit 1, Appendix A, Grade A3; $27.56 to $35.76 per hour
Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to begin November 3, 2025 and continue until August 31, 2026.
