Opportunity

MacEwan University is seeking a Project Coordinator for a full-time 12-month term role, with the opportunity for extension of up to 2 years with our Sociology department with the Faculty of Arts and Science.

Reporting to the Project Director, who serves as the Principal Investigator (PI) of a Social Sciences and Humanities Research Council of Canada (SSHRC) Partnership Grant project, you will provide comprehensive coordination to support the planning and execution of a collaborative research and community-engagement initiative. Managing the day-to-day of the project demands excellent organizational skills, attention to detail, and the ability to collaborate effectively with academic and community partners in a dynamic research environment.

KEY RESPONSIBILITIES INCLUDE:

Project Coordination & Management

  • Supporting project planning, scheduling, and coordination to ensure timely, cost-efficient delivery of milestones and deliverables;
  • Maintaining tracking systems for deadlines (e.g., grants, reports), reporting progress to the Project Director, and ensuring adherence to timelines;
  • Managing meeting logistics - preparing agendas, scheduling and action items; and
  • Creating and maintaining a system for organizing program drives, file management, permissions and safeguarding confidential data.

Financial & Resource Management

  • Developing, monitoring, and adjusting project budgets; creating financial projections while ensuring compliance with institutional and funding requirements; and
  • Researching and supporting applications for grants and awards; assessing resource needs and proactively resolving project issues.

Research Support

  • Contributing to grant applications and ethics submissions, including writing, formatting, and coordination;
  • Preparing research materials (e.g., literature reviews, reports, data tools), coordinating data collection and analysis logistics, and supporting rigorous research methodologies; and
  • Facilitating collaboration between community and university partners to support community-engaged research.

Communication & Knowledge Mobilization

  • Coordinating production and dissemination of knowledge translation materials (e.g., presentations, reports, web content, publications) for diverse audiences;
  • Acting as point of contact for stakeholders, ensuring strong partnerships through consistent communication and responsiveness; and
  • Organizing dissemination events (e.g., symposiums, workshops, webinars) and track outcomes to support knowledge uptake and engagement.

SKILLS

You will have:

  • A strong intellectual and academic skillset including critical thinking, problem-solving, time management, communication, research, and analysis;
  • The proven ability to work independently and collaboratively, managing complex tasks, teams, and multiple deadlines with minimal supervision;
  • Demonstrated leadership, interpersonal, and communication skills, with the ability to engage diverse stakeholders and translate research findings for community and academic audiences;
  • Advanced proficiency in digital tools and software, including Microsoft 365, research platforms (e.g., NVivo), databases, spreadsheets, and web-based applications.
  • Experience in research design and methodologies, including quantitative, qualitative, mixed-methods, and community-based approaches;
  • Skills in project coordination and administration, such as scheduling, budgeting, documentation, and multi-partner collaboration with schools, universities, or government agencies;
  • A deep understanding of educational systems and equity, particularly within K–12 and Indigenous contexts, with awareness of cultural sensitivity and diversity;
  • Applied knowledge of mobilization and academic writing, including grants, reports, and publications tailored to various audiences using APA and other formats;
  • Experience with qualitative and quantitative data analysis (e.g., thematic analysis, coding, NVivo);
  • Experience being adaptable, organized, and detail-oriented, while working under pressure in evolving environments, maintaining professionalism and ethical standards; and
  • Well-versed in research ethics and Indigenous research principles (e.g., OCAP, 4 R’s), with a commitment to respectful and inclusive research practices.

QUALIFICATIONS

  • A minimum of 3 years of professional experience in research coordination.
  • A minimum of 2 years of experience in project and budget management.
  • Managing health services and community based participatory research projects, and grants within academic research is an asset.
  • An equivalent combination of education and experience may be considered.
