Purpose

The primary purpose of our Administrative Assistant is to support the operations team and to reflect the warmth, kindness, professionalism, and care that we prescribe to for every student, potential students, faculty, and staff member. The Administrative Assistant position is an on-site position based at our new campus location at 116 West 6th Avenue in Vancouver. The position is fast-paced and also supports our partner school, The Vancouver School of Healing Arts.

The ideal candidate:

A friendly, approachable and tech-savvy individual who exhibits warmth, excels at customer service and has a can-do attitude with a strong work ethic and exceptional communication skills. You are willing to help across a wide spectrum of duties and are proficient in working with Google suite, Microsoft suite including Excel and Google sheets, and is comfortable working with and troubleshooting with software such as Zoom, Moodle, Campus Login, and being generally proficient with technology and adaptable to new and changing software programs. The individual will also be required to manage reception a few days a week (Thursdays and Fridays and as needed).

Key Responsibilities:

  • Supporting a variety of the Colleges' initiatives

  • Proficient with Microsoft and Google Suite

  • Technologically savvy: Proficient and adaptable with a variety of software programs

  • Formulate and manage reports

  • Take minutes and follow up on action items from meetings when required

  • Organize and maintain files

  • Support the planning and execution of logistics for department events

  • Provide all other administrative support to the college and President as needed

  • Attend to the reception area on Thursdays and Fridays and as needed

  • Other duties as assigned

Qualifications:

  • Commitment to always uphold and practice Rhodes Wellness College’s 8 values.
  • Minimum 3–5 years of experience as an Administrative Assistant or in a similar

administrative role, preferably in an educational setting.

  • Reception responsibilities as required*(mail, incoming phone calls, book appointments, record keeping, ordering supplies, printing, filing, etc.)*

  • Manage equipment and maintenance of the campus

  • Help finance and admissions with record keeping and tracking, including attendance and other reporting requirements

  • Advanced proficiency in Microsoft Excel and Google Sheets, with the ability to create

complex formulas, pivot tables, and data visualizations.

  • Proficiency in using office productivity tools such as Google Workspace, Microsoft

Office Suite, and Zoom.

  • Experience with project management tools and systems is a plus.
  • Proficiency with a learning management or customer management system and the ability

to navigate and utilize all features of software effectively.

  • Exceptional organizational and time-management skills with acute attention to detail.

  • Strong communication skills, both written and verbal.

  • Ability to problem solve quickly and effectively in a fast-changing environment.

  • Strong ability and capacity to shift between tasks and requests.

  • Basic math and accounting skills.

  • Demonstrated ability to handle confidential and sensitive information with absolute

discretion and confidentiality.

  • Ability to adapt and ability to maintain a calm presence
  • Ability to work with others from various cultural, educational and economic backgrounds
  • Ability to work quickly, graciously, accurately, and effectively in a fast-moving

environment.

  • Strong ability to work with others and collaborate effectively to achieve goals.
  • Bachelor’s degree in a related field is preferred but not required.

Schedule:

  • Work 5 days/40 hours a week schedule that will generally be 8:30am - 5:00pm Monday to Friday at our campus at 116 West 6th Avenue.
