Global Sourcing Coordinator (on-site)

Concord, ON
Mid Level
full_time

About the role

SUMMARY: The Global Sourcing Coordinator supports the company’s global sourcing activities by executing day-to-day supplier research, RFQ administration, onboarding, data tracking, and follow-up with international and domestic suppliers. The role is focused on organizing information, maintaining accuracy in cost and lead-time data, and ensuring that supplier communication, documents, and status updates are properly captured and shared internally to support purchasing and production. The coordinator helps drive cost savings, reduce supply risk, and support on-time delivery of quality products.

DUTIES AND RESPONSIBILITIES:

  • Search, identify, and pre-qualify potential suppliers globally through research, networking, and market analysis; capture capability details (capacity, certifications, core competencies, lead times).

  • Prepare and issue RFQs/RFPs to approved and prospective suppliers; track quote status and follow up to close gaps and overdue responses.

  • Consolidate and compare vendor quotes (pricing, MOQ, lead time, Incoterms, payment terms, tooling, NRE) and highlight deltas and risks for review by the Global Sourcing Manager.

  • Coordinate supplier onboarding: NDAs, vendor setup forms, banking information, quality questionnaires, certifications, insurance, and compliance documentation; ensure records are complete and stored properly.

  • Maintain and update the supplier database and sourcing trackers with accurate contact information, capabilities, cost, lead time, and terms.

  • Enter and maintain approved cost, lead time, MOQ, and terms in ERP/MRP and sourcing dashboards; ensure accuracy of part numbers and vendor records.

  • Support dual‑sourcing initiatives and identify single‑source risks; flag critical items requiring additional sources or contingency plans.

  • Liaise with Engineering and Quality to obtain drawings/specifications, manage document control, and confirm suppliers are working to the latest revisions.

  • Coordinate with Purchasing on PO placement to selected suppliers; obtain acknowledgements, promised ship dates, and tracking information; escalate delays or risks to the Global Sourcing Manager.

  • Support logistics handoff by confirming agreed Incoterms and collecting shipment documentation (commercial invoices, packing lists, certificates) when required.

  • Prepare weekly sourcing status updates, dashboards, and KPIs (quote turnaround time, qualified sources per part, cost deltas, and delivery risk).

  • Maintain organized records of RFQs, quotes, approvals, NDAs, supplier scorecards, and performance notes for auditability and future reference.

  • Serve as first point of contact for routine supplier questions and route technical/commercial issues to the appropriate internal owner.

  • Support cross-functional meetings to resolve obstacles related to cost, lead time, supplier capability, or manufacturability.

  • Other duties as assigned as per the need of the business.

REQUIRED SKILLS & QUALIFICATIONS:

  • Post-secondary education in supply chain management, business, procurement, engineering technology, or a related field.
  • 1–3 years of experience in purchasing, sourcing, or supply chain coordination within a manufacturing environment (industrial/technical preferred).
  • Strong organizational skills and attention to detail; able to manage multiple open actions across suppliers, parts, and projects.
  • Data-driven and comfortable working with numbers (pricing breakdowns, MOQ impact, currency and Incoterms).
  • Proficiency with Excel/Sheets and experience using ERP/MRP systems for vendor setup, PO tracking, and data maintenance.
  • Professional written and verbal communication skills for supplier and internal stakeholder interactions.
  • Strong follow-up discipline and ability to work across time zones to obtain timely responses.
  • Basic understanding of manufacturing processes and engineered components, or the ability to learn quickly.
  • Ability to track progress and report on key performance indicators.

Additional:

  • Exposure to global sourcing and international trade basics (Incoterms, HS/HTS codes, duty considerations).
  • Experience consolidating technical RFQs and coordinating with Engineering/Quality on drawings, specs, and inspection requirements.
  • Familiarity with supplier performance scorecards and corrective action follow-up.
  • Supply chain/purchasing certifications (e.g., CSCP, CPSM) or related coursework.
