Assistant to the Dean, Faculty of Applied Health & Community Studies
About the role
Reporting to the Dean, Faculty of Applied Health and Community Studies (FAHCS), the Assistant to the Dean performs a variety of confidential administrative functions in support of the goals and objectives of the Dean's Office, including providing leadership for the coordination of planning processes that support the Dean's office and FAHCS. The role is critical to supporting the Dean in policy/process formulation, strategic planning, Faculty budgeting, and data-driven decision-making to achieve resource optimization in support of Sheridan's vision and objectives.
The Assistant supports the Dean and the coordinated process and administrative leadership of a wide array of procedures, documentation and records critical to the Faculty's programs, projects and planning initiatives, communication strategies, operations, processes and program compliance. As a member of the management team within FAHCS, this position works closely alongside the Dean, the Associate Deans, the Administrative Program Assistants, and others in the Faculty to ensure efficient coordination of activities, projects, and events in support of the mission and vision of the office and division.
The Assistant acts as the first point of contact for the Dean's Office and is required to organize and expedite the flow of work through the office and must have a good understanding of the workflow, college administration processes, initiatives and how this work is to integrate with and support other divisions and departments throughout the College. Facilitates communication for the Dean with internal and external contacts, including initiating the creation of various communications on behalf of the Dean and negotiating and prioritizing meetings and scheduling for the Dean. The Assistant should be positioned to be able to assume independent leadership of individual projects that support the advancement of FAHCS at Sheridan and across a variety of areas, including grant administration, human resources, purchasing, procurement, and budget tracking, in collaboration with the Finance Management team.
The incumbent is a key technical and administrative resource within the Dean's Office for data collection, some analytics, advice, change leadership and communications and is responsible for administrative support of research and other processes and committees supported by the Director that will require Department participation/connections with various college councils, and committees, initiatives relating to partnerships, joint ventures etc.
Due to the confidential aspect of work, considerable discretion and judgement is required
What You’ll Be Doing
- Providing confidential senior administrative assistance to Dean (calendar, document preparation and coordination, project management) and coordinates activities flowing from the Faculty; identifies needs, develops, implements and monitors effective administrative procedures to ensure the efficient operation of the Dean's office and Faculty.
- The first point of contact for the Dean's Office and represents the Dean, as requested, in administrative transactions and as a liaison/coordinator with external stakeholders.
- Responsible for the daily coordination of Dean's Office, including supply and equipment management, onboarding/offboarding and hiring support of staff, team meeting coordination and follow-up, Faculty-wide event planning (e.g. Welcome Back or All FAHCS meetings) coordination of college wide initiatives affecting Faculty.
- Researching and compiling, organizes, prepares and ensures the integrity of various reports, budget tracking, data or informational documents for planning purposes, tracks work requirements and manages project timelines that have college-wide, departmental impact.
- Assisting with projects on an as-needed basis for the Deans Office, including providing administrative support and office and project coordination. Responds to inquiries on a range of issues for the Dean or Faculty and administers requests from various offices throughout Sheridan
- Maintaining policies and procedures for the Faculty; identifies the need for and initiates the development of new policies and procedures to ensure support effective and efficient, customer-oriented focus of the Dean's Office.
- Implementing procedures and processes for records management that are compliant with legislative requirements (e.g. Freedom of Information and Protection of Privacy Act); Maintain documents, information and correspondence using Sheridan collaborative tools

The successful candidate will also meet the following qualifications:
- 3 year degree/diploma in Business, Office Administration, Executive Management or related field
- 5 years of progressive experience providing senior level administrative support, preferrably within a post-secondary environment (preferred) or a business environment. (Equivalency to be considered)
- High level of proficiency with current office applications and technologies
- Experience coordinating projects and events
- Information management
- Experience developing web materials, surveys, newsletters
- Research skills, including data visualization capacity and ability to undertake environmental scans or synthesize literature
- Well-developed organizational, planning, project administration skills
- Must be able to travel between campuses, including same day
