About the role
Our Client: Is a dynamic Chartered Professional Accountant firm currently seeking a talented and motivated Executive Assistant to join our EA team on a temporary basis to cover a maternity leave.
Job Description: This is a temporary term position, expected to last approximately 19 months, providing complete administrative support to a Partner, while operating in a fast-paced, confidential, and multi-tasking environment. The ability to adhere to and develop effective systems and protocols while carrying out administrative support will be important. Additionally, the ability to work effectively in a team environment alongside other Executive Assistants is integral.
Responsibilities include, but are not limited to
I. Partner Support and Administrative Assistance: Provide comprehensive support to a Partner in managing client engagements, calendars, and travel arrangements. Prepare expense reports and assist with various administrative tasks to enhance Partner productivity. Assist the Partner with ongoing management of policies and guidelines for the Firm.
II. Client Service and Relationship Building
Create a positive and welcoming client service experience, building strong rapport and trust with our valued clients. Assist in client onboarding and maintaining effective communication with clients.
III. Organizational Support
Play a vital role in maintaining electronic files, reviewing calendars, and ensuring timely preparation of documents for meetings. Liaise with external agencies, including the Canada Revenue Agency (CRA), as required.
IV. Financial Record Management
Assist in assembling electronic assurance and financial statements, ensuring accuracy and compliance.
V. Team Collaboration and Development
Collaborate with our EA team and other support staff, providing assistance when required. Embrace continuous learning and professional development opportunities.
Required Skills and Qualifications
Minimum 3 years of executive assistant or administrative experience. Experience working in an accounting environment is considered an asset.
Post-secondary education. (preferred)
Strong communication skills, both verbal and written. Customer service orientation with a focus on building lasting relationships. Exceptional problem-solving abilities and a commitment to delivering high-quality results. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Detail-oriented with excellent time management skills and the ability to prioritize tasks effectively. Strong sense of ownership and caring.

Physical Requirements
