Your Role

This role serves as the eyes and ears for the Chief Operating Officer (COO), connecting organizations, projects, and critical business information to the COO and serves as a trusted partner to deliver against the priorities of the business. This role will support multiple departments and functions and at any time could be involved in Human Resource initiatives, Corporate Impact activities and Sustainability projects.

The Executive Assistant is primarily responsible for:

  • Act as a go-to resource for day-to-day administrative needs

  • Help coordinate internal projects and assist with cross-department tasks

  • Conduct research, compile reports, and prepare presentations as needed.

  • Prepare agendas, meeting notes, and follow-up actions

  • Handle travel arrangements, itineraries, and related logistics.

  • Manage executive calendars, meetings, and communications

  • Draft, proofread, and/or format executive presentations, communications and documents.

  • Maintain organized digital/physical files and handle general office needs

  • Support or lead HR, marketing, operations, finance, and Corporate Impact initiatives as required.

What You Bring to the Table

  • Administration/Business certificate or degree preferred
  • Minimum two years’ prior experience in supporting a senior executive or team
  • Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Exceptional writing, editing, and proofreading skills
  • Excellent organization and time-management skills
  • Able to handle handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion
  • A high level of enthusiasm with an eagerness to tackle new projects and ideas, and jump in where needed
