Arbutus Medical is a rapidly growing medical device venture developing a portfolio of procedure kits to  streamline surgery “outside the OR”, starting with orthopaedic trauma procedures in the ER.

Detailed Role Description

Arbutus Medical is a growing medical device company entering its next stage of operational maturity. As we scale headcount and prepare for audit and long-term growth, we are strengthening our internal finance infrastructure.

We are transitioning from an outsourced bookkeeping firm that currently manages month-end close and payroll. We are now bringing these functions fully in-house and are seeking an experienced Bookkeeper to take full ownership of payroll preparation and monthly close execution.

This is a foundational role responsible for building strong internal processes, maintaining clean books, and ensuring payroll accuracy across jurisdictions.

Key responsibilities:

The Bookkeeper will own the day-to-day accounting function and payroll operations.

This role is accountable for:

  • Full-cycle Canadian payroll processing
  • U.S. payroll coordination through an Employer of Record
  • Month-end close and reconciliations
  • Audit-ready documentation and working papers
  • Transitioning accounting from outsourced to fully internal ownership

This is a senior operator role suited for someone who values structure, accuracy, accountability, and process discipline.

You will operate with significant autonomy and ownership.

Payroll

You will lead payroll operations across jurisdictions.

Canadian Payroll (PayWorks)

  • Prepare and process semi-monthly payroll in PayWorks (including vacation module)

  • Collect and validate payroll inputs (new hires, terminations, salary changes, bonuses, commissions, deductions, vacation payouts)

  • Ensure payroll is processed accurately and on schedule

  • Maintain and reconcile vacation/leave balances

  • Ensure statutory deductions and CRA remittances are accurate and timely

  • Post payroll journal entries into Xero

  • Reconcile payroll-related balance sheet accounts:

  • Wages payable

  • Vacation accruals

  • Source deductions payable

  • Bonus accruals

  • Support year-end payroll reporting (T4s, reconciliations)

  • Serve as primary internal payroll contact

U.S. Payroll – Employer of Record (EOR)

  • Coordinate payroll for U.S.-based employees through our EOR provider
  • Review and validate payroll registers prior to funding approval
  • Reconcile EOR invoices to payroll reports and headcount changes
  • Record and reconcile U.S. payroll journal entries in Xero
  • Ensure accurate tracking of U.S. compensation, taxes, and benefits costs
  • Act as internal liaison with EOR provider
  • Ensure timely funding of U.S. payroll obligations

Cross-Border Expense Coordination

  • Oversee expense processing (Expensify) for Canadian and U.S. employees
  • Ensure policy compliance and complete documentation
  • Review foreign currency transactions and exchange rate accuracy
  • Coordinate reimbursement timing with payroll/EOR workflows
  • Payroll accuracy and timeliness are non-negotiable in this role.

Month-End Close & Accounting

You will transition and fully own the monthly close process previously handled externally.

Responsibilities include:

  • Bank and credit card reconciliations
  • Payroll reconciliations
  • Accruals and prepaid entries
  • Fixed asset tracking and continuity schedules
  • Maintaining general ledger integrity by identifying and resolving uncategorized transactions and ensuring accurate account classifications.
  • Full balance sheet reconciliation and variance review
  • Sales Tax & Statutory Filings (GST, WorkSafeBC)
  • Maintaining structured, audit-ready working papers
  • Supporting reporting requests from Finance leadership

You will be responsible for maintaining a disciplined and consistent close cadence.

Accounts Payable

  • Process and review vendor bills in Xero using Dext/Expensify for document capture and Plooto for payment execution.
  • Prepare and execute vendor payment runs through Plooto and reconcile payment activity to vendor balances.
  • Ensure accurate coding and approvals
  • Follow up internally on missing documentation
  • Maintain strong documentation standards across all transactions

Audit Readiness & Internal Controls

  • Maintain audit-ready books and documentation at all times
  • Prepare and maintain structured reconciliation schedules
  • Ensure clear documentation trails for all transactions
  • Support external audit processes
  • Operate with a strong internal controls mindset and support segregation of duties

Process Leadership & Transition

  • Lead the transition from outsourced bookkeeping to in-house ownership
  • Document and formalize SOPs for payroll and close
  • Identify and implement process improvements
  • Build scalable systems that support company growth

Requirements

  • 7+ years of full-cycle bookkeeping experience
  • Direct experience in independently processing Canadian payroll
  • Experience coordinating payroll in multi-jurisdiction environments (EOR experience preferred)
  • Strong month-end close and reconciliation experience
  • Advanced Excel skills
  • Experience supporting audit preparation
  • Comfortable operating independently with high accountability
  • Ability to work onsite in Burnaby (near Production skytrain station)

Preferred Skills

  • Experience with Xero and PayWorks
  • Experience transitioning accounting functions in-house
  • Experience in a scaling company environment
