OVERVIEW
The Associate Project Manager role at Fastco will be integral to the success of the company’s spring and fall booking programs, as well as the holistic effectiveness of the company’s Project Management Office (PMO).
This role prioritizes the planning and execution of two distinct booking seasons with Fastco’s major OEM partners across Canada. Responsibilities span preparation, sales, production and logistical coordination phases and tasks across these critical programs—directly contributing to Fastco’s performance and growth. Booking requirements are well documented and process mapped.
Given that booking management work is seasonal in nature, the balance of this role’s time and effort will be spent strengthening the Project Management Office’s (PMO’s) service management capability, (digital) product backlog efficiency, and operational best practice application—enabling Fastco to continue scaling smoothly and effectively.
Fastco’s PMO is a cross-functional bridge between all departments, their business requirements and the company’s technological systems. It comprises project managers, business analysts, and more uniquely, software developers, that support the entire company’s interests and business needs.
Fastco is a very technically driven company whose unique selling propositions stem from its proprietary data, complex business logic and unique expertise. Beyond the booking programs, most of the PMO’s efforts are focused on e-commerce evolution, technical integrations with third parties and systems, and information technology service management. The Associate Project Manager will ensure that the quality of process and product is consistently held to the highest standards, while improving service levels, driving efficiencies, delivering added value for the company and its partners.
This role requires very strong organizational skills, keen attention to detail, superlative communication, self-motivation, and the ability to simultaneously service multiple priorities in a fast-paced environment.
RESPONSIBILITIES
Booking Coordination (40%)
- Preparation: program scoping and requirement gathering; workspace and documentation set-up (PMIS, PMO folders); development of program guidelines; cross-functional alignment with sales, marketing, and product development departments; kit planning, curation and creation management; product, pricing, and creative asset coordination
- Sell-in: Booking platform setup(s), configuration and order entry management, monitoring, troubleshooting, and status tracking throughout active booking windows
- Build & Deliver: production (kitting: assembly; mounting & balancing), logistical, and support coordination
- Continuous Improvement: lead post-mortem sessions and maintain a Lessons Learned Register to drive process improvements; enhance future booking program efficiency, and standardize best practices across teams.
Project Management Office Coordination (60%)
- IT Service Management: ticket intake, triage, actioning, resolution confirmation, communications, closure;
- Product backlog coordination & quality assurance: task organization, specification documentation, user acceptance testing (UAT), iteration coordination, communications;
- Documentation & best practice support: technical and business logic documentation drafting and maintenance;
- PMO coordination: communication and task support for the department and all its members.
QUALIFICATIONS
- College diploma or bachelor’s degree in business administration, operations management, supply chain, management information systems, or equivalent practical experience;
- 2 years of project management experience supporting multidisciplinary initiatives;
- Strong organizational, planning, and administrative skills, with obsessive attention to detail;
- Comfort and proficiency in MS Office 365 (Excel, Outlook, PowerPoint, Teams);
- Ability to coordinate multiple priorities and follow up diligently to ensure deadlines are met;
- Strong interpersonal and communication skills, with a collaborative mindset and attitude;
- Bilingual (English and French), with strong written communication skills.
PREFERRED QUALIFICATIONS
- Microsoft Excel training certification of any kind, an asset;
- Experience with FreshDesk (or any ITSM ticketing system), an asset;
- Experience with Wrike (or any PMIS), an asset;
- Experience with Umbraco and/or Kentico (or any CMS), an asset;
- Experience with SAP Business ByDesign and/or SAP S/4 HANA (or any cloud ERP), an asset;
- Experience with Microsoft Azure DevOps (or any SDLC management platform), an asset;
- Depth of understanding in operational, sales and/or marketing business processes;
- CAPM, Scrum or PMP certification: completed, in-progress or planned, an asset;
- Knowledge of agile and waterfall methodologies;
- Familiarity with continuous improvement concepts (e.g. Lean, Six Sigma an asset).
