Could you be the full-time Documentation Controller in Toronto, ON we’re looking for?
Your future role
Take on a new challenge and apply your expertise in documentation management in a cutting-edge field. You’ll work alongside proactive and collaborative teammates.
You'll ensure seamless documentation processes that support the success of our projects. Day-to-day, you’ll work closely with teams across the business (such as Project Management, Engineering, and Quality teams), implement and maintain documentation systems, and much more.
You’ll specifically take care of managing and delivering project documentation to customers on time, but also ensuring internal validation processes are adhered to.
We’ll look to you for:
- Managing and implementing the Project Documentation according to the rules defined in the Project Documentation Management Plan.
- Confirming that rules are understood and respected by every Project Management team member.
- Adapting and implementing the Alstom standard documentation structure to the Project.
- Ensuring internal validation of documents before submittal to customers.
- Implementing document/data management solutions with a focus on document control and records management.
- Creating and maintaining document control procedures and guidelines.
- Processing documents in accordance with defined procedures and guidelines.
- Providing assistance to users in capturing and locating electronic information.
- Managing the documentation delivery in due time to customers and stakeholders.
- Updating project document templates and ensuring accurate recording in the Electronic Document Management System (EDMS).
- Providing documentation reporting and indicators to the Documentation Manager and Project Management Team.
- Acting as the EDMS Key User at the project level, including training new users and providing first-level support.

Bachelor’s Degree in Archival Studies, Library Sciences, Records Information Management or combination of education, training and experience.

5 years of experience in a senior Documentation Management role or a minimum of 7 years of experience in Documentation Management overall.

Knowledge of EDMS tools and environments.

Strong communication (oral and written) and interpersonal skills.
-
Ability to work collaboratively as part of a team.
-
Attention to detail and a systematic, organized approach to tasks.

Competence in Microsoft Office tools.
-
Engineering environment awareness preferred.
-
Knowledge of railway signalling products and systems is a plus.

Compensation
The expected compensation for this role is$70,000 – $90,000 CAD per year, plus benefits and eligibility for an annual performance bonus. Final compensation will be based on skills, experience, and internal equity.
