The Forensic Service at the Centre for Addiction and Mental Health is seeking a full-time, permanent Administrative Assistant to support the program’s clinical and academic leadership, including the Chief of the Division. This position offers the opportunity to contribute to an active and high-performing team while engaging in a diverse range of responsibilities that interface administration, clinical care, and project support.

The role involves liaising with internal and external stakeholders and collaborators, and supporting divisional operations and strategic initiatives. Key responsibilities include calendar management and meeting coordination; preparation and management of confidential materials; event planning; payroll processing and financial account support; coordination of physician recruitment, contracts, and reappointment processes; onboarding and space management, tracking data; preparation of correspondence, reports, presentations, and manuscripts; and project coordination for divisional initiatives.

The successful candidate will contribute to a workplace that values diversity, encourages collaboration, and complies with all applicable health, safety, regulatory, and legislative requirements. This role requires the ability to work independently with minimal supervision in a dynamic environment while contributing positively to a collaborative administrative team. This position is located at the Queen Street Site.

Job Requirements

The successful candidate will have a post-secondary Certificate or Diploma in Office Administration or a related discipline, along with a minimum of three – five years of experience providing administrative support to senior leadership, preferably within healthcare or academic environments.

This position requires initiative, professionalism, maturity, and a high degree of discretion and confidentiality. The ideal candidate is self-motivated, detail-oriented, and proactive, with strong organizational, problem-solving, and multitasking abilities. Excellent written and verbal communication skills, strong interpersonal skills, and sound judgment are essential.

The candidate must demonstrate the ability to work both independently and collaboratively in a fast-paced environment and adapt to changing priorities. Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, and Access) is required. Knowledge of medical terminology is considered an asset. Experience conducting literature searches and synthesizing information from publications is preferred. The ability to work effectively with individuals from diverse backgrounds is required. Bilingualism (French/English) or proficiency in a second language is considered an asset.

Compensation & Benefits:

-Hiring Salary Range:$53,230.40 – $66,538.00 per year (based on qualifications and experience) -Full Salary Range:$53,230.40 – $79,845.60 per year (reflecting potential growth within the role) -CAMH Benefits Package: Includes extended health and dental coverage,HOOPP defined benefit pension plan, paid vacation and sick leave, and professional development opportunities.
