The Opportunity Our West Country Team, part of Canada Gas Operations, has an opportunity for a Field Associate to join the team based in Rocky Mountain House, Alberta.

Reporting to the Area Manager, this role supports a wide range of day-to-day activities, coordinating with others to address departmental or interdepartmental tasks, and becoming a go-to for department information and support.

What You’ll Do

  • Handle sensitive and confidential information in a timely, trustworthy and professional manner

  • Work independently to develop, prepare, proofread, analyze and update PowerPoint presentations, Excel spreadsheets, reports, communication materials, correspondence and other materials

  • Management of travel bookings for the group

  • Manage the departmental members’ calendars with internal and external parties - this includes coordinating meeting logistics booking rooms, AV support, catering, etc. as well as drafting meeting agendas and coordination of presentations where required

  • Work closely with the team, and at times, organizes key data, files, digital materials on Company drives or collaboration tools (i.e., includes setting up shared drives, SharePoint sites, Box drives or other collaborative technology tools)

  • Mapping and identification of data / process flow inefficiencies to improve workflows where required

  • Administer all departmental filing and record maintenance requirements where not digital

  • Account for, submit and manage records such as subscriptions, expenses and timesheets

  • Manage all Workforce, SAP, network access and other system changes, as well as the logistics for employees, new hires and contractors including setting up training and onboarding for new hires.

  • Prepare, coordinate, analyze and report on team budgets and forecasts

  • Assist team members on company programs and processes (i.e., SAP, ServiceNow, LMS, MS Office)

Minimum Qualifications

  • High school diploma

  • 5 years of related administrative support experience

  • Exceptional computer skills, ideally intermediate knowledge of: MS TEAMS, Outlook, Word, Excel, PowerPoint

  • Proven ability to prepare materials utilizing suite of Microsoft tools with minimal supervision and under tight deadlines

  • Strong analytical (budgeting / financial) and organizational skills

Preferred Qualifications

  • Post-Secondary education in a related field
  • Proven time management skills
  • Exceptional judgement and discretion when dealing with internal and external parties particularly when dealing with confidential matters
  • Proven organizational, planning and prioritization skills; ability to work in a fast-paced environment and manage tight deadlines
  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
  • Experience with SAP, Workday and/or PowerBI
