Student Services - Operations

Our Operations team provides the organizational expertise that enables Student Services to offer a wide range of support to McGill students. Responsible for human resources, finance, and Infrastructure, Operations plays a key role in all of our service areas.

Position Context:

The Infrastructure Manager performs in an advisory capacity to the Director Operations, affecting the building operations and space planning and allocation.

In this capacity, the Infrastructure Manager is accountable for ensuring the implementation of policies related to access, building use, maintenance, safety and security as well as asset management. They also serve as liaison between building users and the service departments involved in the operation of the facility.

The incumbent is also accountable for all the projects related to the building maintenance and acts as the building project manager on all matters related to Brown Building renovations, Student Services units relocation, etc.

Major Responsibilities:

  • Manage all projects related to renovations, moves and other building related endeavors, including but not limited to space allocation and planning. Responsible for tenders for projects and monitor budgets. Negotiate changes to existing contracts. Responsible for negotiation of new contracts.

  • Develop guidelines, processes and procedures related to common space usage, office sharing and ensure they are followed. Provide training and support to all building occupants.

  • Act as the project manager for projects related to renovations, wayfinding and Facilities-driven maintenance projects. Oversee timelines, budgets, and contractor coordination to ensure successful completion.

  • Responsible for the emergency preparedness. Develop and implement contingency plans for power outages, unexpected events or other emergencies. Conduct regular inspections and risk management.

  • Manage the day-to-day building operations by liaising with the appropriate areas for resolution (e.g., Facilities Management, cleaning contractors, etc.) and perform appropriate follow up, by contacting Facilities for building repairs/maintenance issues. Liaise with building manager for University Centre (SSMU). Remain up to date on issues that may impact the Brown Student Services Building (i.e., closure of University Centre, etc.). Review issues with Director of Operations; update staff, as needed, on items.

  • Manage the inventory of access, keys and other assets; develop and implement protocol to ensure building access is maintained and implemented as per University guidelines. Ensure that security, due to key loss / mismanagement, is dealt with (i.e., re-keying of locks, etc.).

  • Liaise with external suppliers to arrange for any installation / removal, annual cleaning, pest control, etc. Liaise with supplier(s) to set up yearly standing order purchase order. Login to company website(s) to review service reports. Contact suppliers to resolve any issues.

  • Develop Building Planning Cycle. Develop communications to building occupants concerning any items which may impact on them (i.e., system outages, renovation work, etc).

  • Develop and provide training related to safety and security, and disseminate pertinent information concerning security and environmental / occupational health rules and regulations. Ensure that security, fire prevention, safety and environmental/occupational health programs and initiatives are administered in conformity with established procedures and guidelines. Ensure immediate action when emergencies occur. Communicate, appropriately, when emergencies occur.

  • Manage physical resources of the Brown Student Services Building and ensure compliance with University and government regulations. Maintain and monitor the space usage database and ensure that it remains up to date (includes all spaces in the Brown Student Services Building, i.e., offices, conference rooms and public spaces).

  • Maintain and update a Student Services

    centralized approval system

    and centralized booking system for tabling events (whether internal or external requests) in or in the general area of the Brown Student Services Building. Update and modify the protocol and the programming on the system, as needed.

  • Responsible for the conference room booking as well as the A/V equipment

  • Precision and attention to detail.
  • Must be self-motivated, self-directed, and approachable.
  • Composed under pressure with an ability to cope effectively with change.
  • Excellent interpersonal skills with a proven ability to track and provide statistics to supervisor on regular basis.
  • Demonstrated ease with technological applications with a proven ability to work in the Microsoft eco-system.
  • English and French, spoken and written.

Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 3 Advanced on a scale of 0-4*.*
