Catering Coordinator

Job Description
How you will make an impact:
Working in collaboration with the Culinary team , this role will provide leadership in the planning, coordination, and execution of events. Some duties will include but are not limited to:
Catering Coordinator Responsibilities
-
Serve as the primary point of contact for all catering requests, managing the catering inbox efficiently and professionally.

Demonstrate strong teamwork and excellent verbal and written communication skills in a fast-paced environment.
-
Maintain a positive, solutions-oriented attitude, fostering strong relationships with clients and colleagues.
-
Attend and/or lead daily Banquet Event Order (BEO) review meetings to ensure all event details are accurate and up to date.
-
Prepare, update, and distribute BEOs according to established schedules and protocols.
-
Collaborate with the booking team to promptly communicate meeting cancellations, room changes, or other adjustments affecting catering services.
-
Flag complex events or special requirements to the Senior Conference Services Manager (Senior CSM) for additional support.
-
Provide accurate event quotes and confirm catering orders based on guest requirements, with a focus on portion control and minimizing food waste.
-
Communicate effectively with the Culinary & Catering Operations Team regarding special or custom client requests to ensure accurate execution in line with agreements made with the client.

Address and resolve client complaints or issues promptly to ensure a high level of satisfaction.
-
Gather and act on feedback from the Catering Operations Team to improve catering placement and service delivery.

Maintain accurate records of catering orders, event details, and invoices for reporting and future reference.

Experience with internal systems such as Salesforce Delphi and Magnet is highly preferred.
Qualifications
What you'll need to succeed:
-
Post-secondary diploma required; preference for post-secondary degree, in a related field, preferably Hospitality and/or Event Planning.
-
Minimum of 3-5 years’ experience in planning and executing events in a medium to large scale events
-
The ability to work well independently on several projects concurrently, and possess excellent communication, organizational and creative thinking skills.
-
Focus on maximizing revenue consistent with providing the client with value and exceptional service.
-
Software proficiency in Microsoft Word, Excel, Power Point, is required; knowledge and experience in the event management booking software is preferred.

Strong initiative and hospitality orientation; Project Management, organizational and prioritizing skills; problem solving and detail oriented.

Demonstrate flexibility, pleasant persona coupled with sound judgment, discreet and able to maintain confidential information
