Busch Vacuum Technics Inc. is currently looking for a SERVICE COORDINATOR to join our team in Mississauga. The individual will be responsible for the coordination of activities and all documentation related to the workshop and field service.

MAIN RESPONSIBILITIES OF THE POSITION:

  • Schedule and coordinate all service operations, ensuring timely and efficient completion of tasks.

  • Assign technicians to appropriate inhouse and field service jobs for Ontario region based on their skills and availability.

  • Serve as the primary point of contact for customers, scheduling appointments, providing service updates, and resolving complaints.

  • Act as a link between customers, service technicians, and other departments to ensure smooth operations.

  • Track key performance indicators (KPIs) and report on service performance, identifying areas for improvement.

  • Ensure that all work meets company standards and that the workshop environment is safe and compliant.

  • Propose and implement changes to streamline operations and enhance service delivery.

  • Prepare submissions for service calls and internal repairs, enter data provided by technicians to complete work orders and open and close work orders.

  • Follow up on parts (requisition, inventory transfers) for the execution of internal repairs and service calls.

  • Maintain accurate records and file all documents related to the service department: work orders, submissions, cost calculations, customer interactions etc.

  • Write/transmit selected departmental communications and reports.

  • Promote and encourage a positive attitude for all team members.

  • Contact customers to organize shipment of equipment and/or collect purchase orders.

  • Looks over rental pumps: shipping and receiving procedure, inventory adjustments, customer follow-ups, invoicing.

  • Obtains and files safety information on customer equipment returning for repair.

  • Assist in building management, complete requisitions, and communicate with contractors.

  • Assist the supervisor in the stand-up meetings with service technicians.

  • Carry out any other tasks and take on any other responsibilities that the immediate supervisor may assign on occasion.

JOB REQUIREMENTS:

  • Diploma of Vocational Studies (DVS) in secretarial or office automation.

  • 3 to 5 years experience in a similar position or in customer service.

  • 3 to 5 years experience coordinating a service or technical team.

  • Coordinating a service or technical team: 3 years (required)

  • CRM: 1 years (required)

  • SAP: 1 year (preferred)

  • Microsoft Excel: 5 years (required)

SKILLS:

  • Excellent organizational and time-management skills

  • Strong communication and interpersonal abilities

  • Proficiency in service management software and record-keeping

  • Problem-solving and conflict resolution skills

  • Knowledge of the specific industry and services offered

  • Ability to multitask and work under pressure
